Assistant / Secretary for Catering Services (Full-Time)

We are an established catering business with 12+ years of experience, serving couples, families, private events, and corporate clients. We pride ourselves on excellent service, smooth event execution, and strong relationships with clients and suppliers. As our business continues to grow—and with the owner also overseeing a café—we are looking for a reliable, long-term Assistant/Secretary to support our operations.
The Catering Operations Assistant will be responsible for supporting day-to-day activities across client coordination, supplier management, event preparation, logistics, and on-site operations. This role requires someone who is organized, confident, reliable, and excellent with communication.
Key Responsibilities: Client Coordination (Pre-Sales & Post-Sales)
- Assist in responding to inquiries from couples, parents, companies, and event planners.
- Handle pre-sales discussions, follow-up messages, and after-sales client care.
- Present the services confidently, ensuring clients feel secure and well-guided.
- Conduct ocular visits independently and prepare notes or reports.
Supplier & Vendor Management
- Coordinate with florists, food suppliers, tent/linen suppliers, and wait staff.
- Ensure suppliers follow schedules, deliver complete items, and meet quality standards.
- Be strict and assertive when handling delays, missing items, or inconsistencies.
- Manage bookings for logistics, trucks, and transport vehicles.
Administrative & Organizational Support
- Organize event documents, booking files, contracts, and checklists.
- Maintain calendars for events, client meetings, and deliveries.
- Prepare weekly reports and updates for management.
On-Site Catering Event Support
- Board trucks/vehicles to the venue when needed.
- Supervise or assist with setup and coordinate with waiters.
- Ensure client needs are met smoothly during events.
- Help handle last-minute adjustments professionally and calmly.
Qualifications
- Preferably residing near Molino III / Bacoor area (for faster dispatch and event venue accessibility)
- Experience in catering, events management, customer-facing roles and Social media management.
- Strong communication skills (written and verbal)
- Confident, presentable, and well-organized
- Can work under pressure and manage multiple tasks
- Can travel to and from venues; comfortable riding logistics vehicles
- Trustworthy, professional, and willing to grow with the company long-term
- Must be able to work Tuesdays to Saturdays
