Job Description

Position Summary

Executive Assistant to the CEO plays a critical role in supporting the CEO's daily operations, strategic initiatives, and organizational leadership. This position combines high-level strategic coordination with executive administrative support. EA ensures the CEO's time, communications, and priorities are effectively managed, enabling efficient decision-making and smooth organizational operations.

Key Responsibilities1. Executive Support to the CEO

  • Manage the CEO's calendar, appointments, travel, and daily schedule.
  • Prepare briefs, presentations, reports, and documents for CEO meetings and engagements.
  • Draft and manage emails, letters, announcements, and internal communications on behalf of the CEO.
  • Maintain confidentiality and exercise sound judgment in handling sensitive information.
  • Organize and support meeting preparation: agendas, minutes, documentation, and follow-ups.

2. Strategic & Operational Support

  • Serve as a strategic partner to the CEO in planning, monitoring, and executing company priorities.
  • Assist in translating CEO directives into actionable plans across departments.
  • Track organizational goals, KPIs, and initiatives; identify issues and provide recommendations.
  • Conduct research, analyze data, and prepare executive summaries to support decision-making.
  • Coordinate with leadership teams to ensure alignment and timely delivery of CEO initiatives.

3. Project & Workflow Management

  • Lead or support special projects assigned by the CEO.
  • Manage cross-functional coordination, ensuring tasks are prioritized and executed efficiently.
  • Develop trackers, dashboards, and reports to monitor project progress and performance.
  • Follow up on commitments made by the CEO to ensure timely results.

4. Stakeholder & Communication Management

  • Serve as the CEO's representative when engaging with internal teams, partners, and external stakeholders.
  • Screen requests, inquiries, and meetings to ensure alignment with CEO priorities.
  • Support CEO participation in events, board meetings, and high-level engagements.
  • Maintain strong professional relationships across the organization.

5. Office of the CEO Leadership Support

  • Streamline workflows, improve processes, and enhance operational efficiency.
  • Assist with planning leadership offsites, company-wide meetings, and strategic sessions.
  • Support onboarding of senior executives when necessary.
  • Maintain a positive, professional, and collaborative environment within the CEO's office.

Qualifications

  • Bachelor's degree in Business Administration, Management, Communications, or related field.
  • Minimum 5–8 years experience as an Executive Assistant, Chief of Staff, or similar senior support role.
  • Exceptional communication (written and verbal) and interpersonal skills.
  • Strong organizational, project management, and problem-solving abilities.
  • Ability to manage complex schedules and priorities under pressure.
  • High emotional intelligence, discretion, and professionalism.
  • Proficiency in MS Office, Google Workspace, and productivity/project management tools.
