Job Summary:

The Executive/Professional Assistant provides comprehensive executive, administrative, and personal support to Ms. Mae Ng, Chief Executive Officer. This role ensures seamless coordination of both professional and personal matters, managing communication, scheduling, and confidential information with discretion and professionalism.

The position requires a proactive, well-organized individual who can anticipate the CEO's needs, handle sensitive information, and thrive in a dynamic environment while upholding the highest standards of confidentiality and integrity.

Key Responsibilities:

Executive & Administrative Support

  • Manage the CEO's calendar, appointments, and daily agenda.
  • Prepare meeting briefs, presentations, and minutes with action follow-ups.
  • Handle confidential correspondence, reports, and communications.
  • Prioritize emails, calls, and inquiries to ensure efficient response flow.
  • Maintain organized digital and physical filing systems.

  • Business Operations Coordination

  • Liaise with department heads (HR, Operations, Marketing, Finance, Legal) to ensure alignment with directives.

  • Support the tracking and execution of key projects and performance goals.
  • Assist in preparing proposals, reports, and board presentation materials.
  • Coordinate with internal and external partners on behalf of the CEO.

  • Personal Task & Lifestyle Management

  • Manage the CEO's personal calendar, errands, and family logistics.

  • Coordinate travel arrangements, event planning, and private engagements.
  • Handle personal reservations, purchases, and scheduling.
  • Secure and organize confidential personal documents and information.
  • Ensure smooth integration of personal and professional commitments.

  • Communication & Representation

  • Represent the CEO professionally in meetings and external interactions when delegated.

  • Draft internal announcements, memos, and professional correspondence.
  • Maintain discretion and confidentiality at all times.

  • Project & Logistical Support

  • Assist in the organization of company events, launches, and CEO-led initiatives.

  • Track project timelines, deliverables, and budgets.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field.
  • 3–5 years of experience as an Executive or Personal Assistant.
  • Excellent written and verbal English communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Proficient in MS Office, Google Workspace, and productivity tools.
  • High emotional intelligence, professionalism, and discretion.
  • Adaptable to changing priorities and high-demand schedules.
