The Executive Assistant/HR Generalist is a dual-role position that provides comprehensive administrative support to the executive leadership while managing a wide range of human resources functions. This role is a key point of contact for employees and an essential partner to the executive team. The ideal candidate will be a proactive, detail-oriented professional with excellent organizational and communication skills, who can handle sensitive information with a high degree of discretion.

Key Responsibilities:

Executive Assistant Functions (Approx. 50%)

  • Calendar and Schedule Management: Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel. Proactively identify and resolve scheduling conflicts.
  • Communication & Correspondence: Act as a primary point of contact for internal and external stakeholders. Screen and prioritize emails, phone calls, and other correspondence. Draft, proofread, and edit professional communications, reports, and presentations.
  • Meeting Coordination: Organize and prepare for meetings, including creating agendas, preparing materials, and taking detailed minutes. Follow up on action items to ensure timely completion.
  • Travel Arrangements: Plan and book complex domestic and international travel, including flights, accommodations, and ground transportation. Prepare and submit expense reports.
  • Project Support: Assist with special projects and initiatives as assigned, conducting research and compiling reports.

HR Generalist Functions (Approx. 50%)

  • Recruitment and Onboarding: Manage the full recruitment cycle, from writing and posting job descriptions to screening resumes, scheduling interviews, and extending offers. Facilitate a smooth onboarding process for new hires.
  • Employee Relations: Serve as the first point of contact for employee inquiries and concerns. Mediate and resolve workplace issues, and escalate complex matters to senior leadership when necessary.
  • HR Administration & Compliance: Maintain and update all employee records, ensuring data accuracy and confidentiality. Ensure compliance with federal, state, and local employment laws and company policies.
  • Performance Management: Assist in the administration of the performance review process, including tracking deadlines and maintaining records.
  • Benefits Administration: Assist with the enrollment and administration of employee benefits programs.
  • Training & Development: Support the implementation of training programs and professional development initiatives.

Required Skills and Qualifications:

  • Proven experience as an Executive Assistant and/or an HR Generalist.
  • Exceptional organizational skills, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • A high degree of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS (Human Resources Information System) software.
  • Strong interpersonal skills and the ability to build and maintain positive relationships with all levels of staff.
  • Knowledge of federal and local employment laws and HR best practices.

Education and Experience:

  • Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
