We are hiring on behalf of our client, Zachary Daniels, a leading UK-based recruitment agency specialising in retail and head-office recruitment. Established over a decade ago, the company has expanded its coverage to include digital, marketing, finance, and technology sectors, reflecting the transformation of modern retail into omnichannel and direct-to-consumer models.

Zachary Daniels operates from its Warrington headquarters with satellite offices in London, Belfast, and Birmingham. With consistent growth and an ambition to increase annual turnover from £5.5 million to £8.5 million by 2030, the business is scaling its recruitment operations and administrative support to sustain expansion and enhance delivery quality.


Role Overview

The Recruitment Admin will play a pivotal role in supporting recruitment operations by managing day-to-day administrative processes, maintaining data integrity within Bullhorn CRM, and ensuring smooth communication and task flow between the UK and Philippine teams.

This position directly supports the Business Support Lead in the UK and will be instrumental in freeing up internal resources to focus on strategic recruitment activities. The ideal candidate is highly organised, detail-oriented, and proactive — someone who can follow clear processes while also identifying opportunities to streamline operations.


Key Responsibilities
Daily Core Tasks
  • Code candidate and client data accurately into Bullhorn CRM as directed by the UK team.
  • Respond to new Google Reviews using pre-approved templates and tone guidelines.
  • Identify and merge duplicate candidate or client records in Bullhorn.
  • Add new leads from the shared inbox or other sources into Bullhorn.
  • File signed DocuSigns and NDAs into the appropriate client folders.

Weekly Tasks
  • Verify that the website enquiry form is functioning properly.
  • Check phone line connectivity and ensure calls are being received.
  • Track and log competitor job postings on major job boards, noting frequency and trends.

Moderate Complexity Tasks (Daily)
  • Post new jobs across job boards and ensure they are correctly assigned to LinkedIn Jobs.
  • Add new candidate watchdogs into Bullhorn daily.
  • Monitor and manage the shared Team Inbox, flagging important emails and filing or forwarding as required.

Optional / Advanced Tasks (Future Scope)
  • Prepare the daily performance report (placements, pipeline, revenue).
  • Manage the LinkedIn Recruiter inbox — responding, organising, and flagging potential leads.
  • Manage website enquiries inbox — respond or route messages to the relevant consultant.
  • Archive closed jobs and maintain Bullhorn job status accuracy.
  • Create new DocuSigns / NDAs from templates as required.
  • Contribute to Bullhorn data quality by researching and updating new retail brands and contact data.

Skills & Experience
  • Previous experience in recruitment administration, operations support, or virtual assistance preferred.
  • Experience using Bullhorn CRM or similar recruitment systems advantageous (training provided).
  • Strong organisational and time management skills with high attention to detail.
  • Proficient in Google Workspace, LinkedIn Recruiter, DocuSign, and major job boards.
  • Excellent written communication and ability to work with minimal supervision.
  • Entrepreneurial mindset — able to identify workflow improvements and contribute to process efficiency.
