The Recruitment Coordinator plays a critical role in ensuring smooth, consistent, and high-quality execution across Halo's recruitment pods by managing essential administrative tasks that enable recruiters to focus on sourcing, interviewing, and delivering top-tier candidates to our clients.

The Recruitment Coordinator will work closely with recruiters and Recruitment Leads to maintain workflow discipline, uphold SLAs, and keep every search moving efficiently. This role is foundational to Halo's ability to scale sustainably while maintaining our high standards of client experience.

KEY RESPONSIBILITIES:

  1. Interview Scheduling & Calendar Coordination

  2. Manage end-to-end scheduling for all 1st and 2nd round interviews

  3. Coordinate availability across candidates, recruiters, and clients (multiple time zones)
  4. Handle calendar changes, conflicts, and rescheduling
  5. Send confirmations, reminders, and follow-up notes

  6. ATS Management & Data Hygiene

  7. Keep ATS updated timely with accurate candidate stages

  8. Clean up duplicates, stale records, and mis-tagged profiles
  9. Upload needed files, resumes, and shortlist packets
  10. Maintain formatting and documentation standards

  11. Pipeline Movement & Admin Support

  12. Support recruiters with documentation, reference checks, and follow-through tasks

  13. Job Ad & Role Management

  14. Monitor job ads across platforms

  15. Refresh or close outdated job ads
  16. Ensure all active roles are visible, formatted correctly, and updated
  17. Assist in consolidating job requirements and intake notes

  18. Candidate & Client Communication Support

  19. Assist in following up on availability requests, missing information, and documents within ongoing searches

  20. Assist in providing timely responses to candidates regarding updates and scheduling
  21. Assist in sending non-strategic communications to clients (confirmations, materials, etc.)

  22. Pre-Building Pipelines (Sourcing Support – Development Opportunity)

  23. Assist in sourcing candidates for expected upcoming roles

  24. Generate initial lists of profiles or warm pipelines
  25. Learn basic sourcing strategy from senior recruiters
  26. Provide preliminary talent mapping as needed

MINIMUM REQUIREMENTS

  • 2+ years of experience in recruitment coordination, HR operations, admin support, or a similar role
  • Excellent written and verbal communication skills
  • Strong organizational skills and extreme attention to detail
  • Ability to handle multiple tasks, deadlines, and changing priorities
  • Comfortable working night shift or with US business hours
  • Proactive, responsive, and resourceful
  • Experience with ATS tools is a plus (e.g., GoHire, Workable, JobAdder, etc.)
  • Familiarity with recruitment workflows or sourcing is an advantage
