Clear is seeking an Admin-HR Support to work with our client, an Australia-based company known as the experts in staffing solutions in the agricultural sector. Our client provides temporary labour services to the Agricultural Industry by collaborating with Australia's top farmland owners and farmers.
The Admin-HR Support will assist the HR Administrator in employee document management by ensuring that the various candidates' paperwork is timely processed, renewed, and that the workers' files and documentation are updated.
As an Admin-HR Support, you are responsible for:
- Lodging Recruitment Plans (RPs) in PALMIS (Pacific Australia Labour Mobility Information System) for every worker coming to Australia, ensuring each RP details the role, pay, accommodation, transport, and other conditions, and includes a matching Offer of Employment (OOE). Once submitted to the Department of Employment and Workplace Relations (DEWR), applications are assessed and returned with feedback, which you must review, address, and action promptly.
- Variation (Changes/Updates) Management - Manage all variations (changes/updates) by lodging updates with DEWR whenever circumstances change. This includes preparing and submitting variation requests, addressing DEWR feedback, issuing approved variations to the manager and for the workers' signatures, updating the workers' list, and following up weekly on any unsigned variation forms.
- Workers' Accommodation - In charge of workers' accommodation by uploading all required forms and labelled photos into PALMS, checking that all information is complete, and filing documents in the accommodation folder for future audits. Handle rental increase requests with proper justification, and ensure all accommodation-related feedback is responded to promptly.
- Workers' Arrival Reports in PALMS - Oversee the workers' arrival reports in PALMS by submitting required documents—flight invoice, itinerary, and signed induction—to DEWR for every arriving worker, and keep the arrival tracker up to date.
- Workers' Departure Reports in PALMS - Manage workers' departure reports in PALMS by submitting required documents—flight invoice, itinerary, and superannuation payment export—within the required timeframe, updating the Worker List and keeping the departure tracker current.
- Workers' Private Transport - Responsible for the workers' private transport by obtaining signed forms, tracking and following up on pending signatures, submitting the forms through PALMS, and saving all signed documents in the variation folder.
- Workers' Accommodation Change/Rent Increase - Handle workers' accommodation changes and rent increases by collecting signed forms, tracking and following up on pending signatures, and saving all completed forms in the variation folder without lodging them in PALMS.
- Recruitment Process - Upon the approval of the RP, assist in the selection of workers by working with managers on the worker list, sending the approved list to the Labour Sending Unit (LSU) or Agent for In-Country Recruitment Database (IRD) upload, and creating and uploading individual OOEs for workers to sign and allocate placements.
- Assist the HR Administrator in the Visa Process - Support the HR Administrator with visa processing by preparing the flight manifest, updating worker lists, completing VEVO checks, collecting and saving all required documents (and following up on missing items), submitting visas through the DHA portal, and logging and filing all visa receipts and grant letters in the RP folders and SharePoint.
- Perform other admin tasks that the client or management may require.
MINIMUM QUALIFICATIONS
- Strong MS Word and Outlook skills with the ability to do mail merge
- Minimum 1 year of work experience in an admin role
- A bachelor's degree in Business Administration, major in Human Resource Management, or a similar degree
- Proficient with other MS Office applications such as Excel and Teams
- Working knowledge of using SharePoint is an advantage
- Experience with Australian accounts is a PLUS
