Role Overview:

The Onsite Operations Assistant provides direct support to the Onsite Operations Manager in the planning, procurement, coordination, and deployment of all onsite activities such as health caravans, corporate health events, and school-based programs. This role ensures that all onsite operations are well-prepared, properly resourced, and smoothly executed by coordinating with multiple teams and partners.

The Onsite Operations Assistant also plays a key role in overseeing inventories, ensuring that all materials from the supply chain are prepared for deployment and that items used during onsite events are properly documented and accounted for after each event.

Duties and Responsibilities:

Onsite Planning & Coordination:

  • Assist the Onsite Operations Manager in mapping out the operational requirements for each scheduled health caravan or onsite activity.
  • Coordinate closely with the Key Accounts Coordinator to align partner expectations with operational requirements.
  • Prepare operational checklists, timelines, and deployment plans.

Procurement & Resource Preparation:

  • Coordinate with the Supply Chain Supervisor and Purchasing Team for procurement of onsite materials, consumables, and equipment.
  • Ensure all supplies and devices needed for each event are prepared ahead of schedule.
  • Confirm availability and readiness of machines, kits, documentation materials, and logistics items required for onsite operations.

Deployment & Team Coordination:

  • Work with Team Leaders to ensure proper distribution of staff, materials, and equipment during deployment.
  • Support the Onsite Manager in arranging transportation, manpower assignments, and site layouts.
  • Monitor deployment progress and address urgent logistical needs on the day of the event.

Inventory Handling & Documentation:

  • Oversee the release and return of inventory items used in onsite activities.
  • Ensure proper documentation, tracking, and reconciliation of consumables, devices, and supplies after each event.
  • Work with Supply Chain to report shortages, damaged items, or replenishment requirements.

Operational Support & Reporting:

  • Assist in troubleshooting operational challenges during onsite events.
  • Prepare post-event reports covering logistics performance, inventory usage, and overall event efficiency.
  • Provide recommendations for improving onsite workflows and processes.

Qualifications:

  • Bachelor's degree in Health Administration, Operations Management, Public Health, or related fields is preferred.
  • Experience in operations, logistics, medical missions, or field coordination is an advantage.
  • Strong organizational and multitasking skills.
  • Good communication and coordination abilities with internal teams and external partners.
  • Ability to work in fast-paced, field-based environments.
  • Familiarity with medical supplies and onsite healthcare processes is a plus.
