The Executive Assistant provides high-level administrative support to senior executives, ensuring seamless management of their calendars, travel arrangements, and email correspondence. This role requires exceptional organizational skills, discretion, and the ability to work across multiple time zones in a fast-paced, global environment.

Key Responsibilities:

Calendar Management:

Proactively manage and maintain complex executive calendars, scheduling meetings, appointments, and events across different time zones.

Prioritize and adjust schedules based on business needs and urgencies.

Coordinate internal and external meetings, ensuring all necessary materials and logistics are in place.

Travel Coordination:

Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.

Handle visa applications, travel documentation, and expense reporting.

Troubleshoot last-minute travel changes and ensure smooth travel experiences.

Email & Communication Management:

Monitor, filter, and respond to emails on behalf of executives as needed.

Organize and prioritize incoming correspondence, flagging urgent matters for executive attention.

Draft professional emails, memos, and reports.

Global Executive Support:

Serve as a primary point of contact for executives across different regions and time zones.

Liaise with internal teams, clients, and external stakeholders on behalf of executives.

Prepare presentations, reports, and confidential documents as needed.

Manage special projects and handle ad-hoc administrative tasks efficiently.

Minimum Qualifications:

  • Bachelor's degree or equivalent experience strongly preferred.
  • At least 2-3 years of executive assistant experience supporting high-level executives.
  • Proven ability to handle confidential information discreetly in a diplomatic manner.
  • Unflappable, flexible, and can overcome a learning curve quickly.
  • Extremely strong communication skills on multiple platforms and mediums (email, text, in person, videocalls, etc.).
  • Excellent presentation skills with familiarity in InDesign, Canva Mural/Miro, and/or Smartsheet an advantage.
  • Tech savvy and familiar working in the Microsoft Office suite, Adobe Acrobat and/or Bluebeam, WebEx,Zoom, etc.
  • Ability to work across multiple time zones.
