Job Overview

We are seeking an experienced Administrative Assistant to provide high-level support to our executive team. This role focuses on managing daily administrative needs, with a strong emphasis on calendar management and executive support.

Key Responsibilities
  • Manage complex executive calendars, including scheduling meetings, coordinating with internal and external stakeholders, and prioritizing time-sensitive matters
  • Arrange domestic and international travel, including booking flights, accommodations, and ground transportation
  • Prepare and process expense reports and travel-related documentation
  • Coordinate and organize meetings, including preparation of agendas and materials
  • Handle confidential and sensitive information with discretion
  • Manage email correspondence and phone calls on behalf of executives
  • Prepare reports, presentations, and other documents as needed
  • Support onboarding and offboarding processes for staff
  • Assist with invoice processing and liaise with Accounts Payable
  • Maintain office supplies inventory and place orders as necessary
  • Contribute to team efforts by performing additional tasks as assigned
  • Ability to work in Philippines timezone to support regional leaders based in Hong Kong Regional office
Qualifications
  • Bachelor's degree
  • Minimum 3 years of experience as a Senior Administrative Assistant, with a proven track record of supporting high-level executives
  • Demonstrated expertise in calendar management and scheduling for multiple leaders
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Keen attention to detail and problem-solving skills
  • Ability to work independently and collaboratively in a team environment
Preferred Skills
  • Advanced proficiency in Microsoft Office suite
  • Experience in travel arrangement and expense management
  • Ability to handle confidential information with discretion
  • Proactive approach to anticipating executive needs
  • Flexibility to adapt to changing priorities and deadlines
