What You'll Do in This Role

Be part of our client's team as a Supply Chain Assistant and support both the business and the Supply Chain Executive in administrative and operational functions. You'll manage stock, coordinate logistics, process orders, and maintain vital supplier and customer relationships-all while helping ensure pets worldwide get the best products on time.

What You'll Need to Succeed

• 3 to 5 years of experience in supply chain, logistics, or operations support roles
• Strong organizational and time management skills
• Proficiency in Microsoft Office, especially Excel; familiarity with ERP or supply chain systems is a plus
• Excellent attention to detail and problem-solving skills
• Effective verbal and written communication skills
• Ability to work independently and collaboratively across teams

Competencies

• Solid understanding of end-to-end supply chain operations, including import processes and Incoterms
• Proven experience with data entry for sales orders and purchase orders
• Experience working with international manufacturers and freight forwarders
• Experience managing relationships with local and overseas third-party logistics (3PL) providers
• Familiarity with goods receipt processes and inventory management systems
• Experience providing administrative support across the sales process, including documentation such as Proof of Delivery (POD), delivery dockets, and customer invoices

Skills and Attributes

• Strong verbal and written communication skills in English
• Proficiency in Microsoft Office applications, particularly Excel
• Highly analytical and detail-oriented with strong problem-solving skills
• Exceptionally organized with the ability to manage multiple tasks and priorities effectively
• Ability to work independently with minimal supervision
• Quick to learn and adapt to new systems and processes

Key Requirements

• Bachelor's degree in Accounting, Finance, Business, Commerce, or a related discipline
• Ability to work efficiently across multiple online platforms and business systems
• Prior experience with ERP or supply chain-specific platforms is highly regarded

How You'll Contribute Every Day

Demand Planning & Inventory Support

• Maintain accurate stock records for finished goods and components
• Align system stock levels with 3PL providers and manufacturers
• Create and manage purchase orders to match production schedules and lead times
• Track supplier ETAs and update progress
• Process customer sales orders from receipt to invoicing
• Generate essential documents (ASNs, invoices, BOLs, delivery dockets, SSCC labels)
• Process export and global customer orders (Amazon, PetSmart, Chewy, etc.)
• Manage order entry, invoicing, and logistics for US and Canada

Freight & Export Coordination

• Monitor sea and air freight ETAs
• Collaborate with freight forwarders to ensure timely and cost-effective shipments
• Optimize container use to reduce freight costs
• Prepare export documentation (SLIs, packing lists, commercial invoices)
• Communicate with 3PL partners in AU, NZ, US, and Canada
• Review and validate freight and logistics invoices

Sales Support, Customer Service & Supplier Relationships

• Build relationships with suppliers, retailers, freight providers, and 3PL partners
• Provide timely responses to requests for stock updates, PODs, invoices, and shipment details
• Verify invoices against rate cards and resolve discrepancies

Additional Support

• Assist Finance during peak or leave periods
• Support Sales & Operations leaders with reports and queries
• Perform ad hoc administrative tasks as assigned
