Apply now Learn more: Please apply until November 4, 2025Local Applicants OnlyLocation: GBS ManilaReporting to: Financial ControllerRole: PermanentGBS Administrative SpecialistThe incumbent is responsible for managing administration of the office, including developing new administrative systems to increase overall efficiency and assuring effective and efficient day-to-day administration of office and office procedures. The incumbent would be the point of contact for purchase requisition, also to ensure JTI Purchase to Pay policy is adhered to. Besides that, the incumbent also requires to work closely with the GBS Finance team and perform accounting task during month end closing.As the GBS Administrative Specialist for GBS Manila, you will be responsible for:Managing procurement activities including sourcing, vendor coordination, contract routing, and purchase order creation and amendments.Handling goods receipt, invoice validation, and GRIR monitoring in SAP to ensure timely and compliant processing of transactions.Providing administrative support through safekeeping of key documents, vendor master data maintenance, and coordination with hosted functions.Ensuring compliance with JSOX controls by analyzing reports on aged items, downpayments, and payables, and proposing corrective actions.Supporting legal documentation processes including contract lifecycle coordination, board resolutions, and Secretary Certificates.Collaborating with Finance, Safety, and other teams to support closing activities, forecast admin costs, and promote continuous process improvementsRequirements:Holds a Bachelor's degree in Business Administration, Public Administration, or a closely related field from an accredited institution.Brings at least 2 years of progressive administrative or service experience in a large multinational company.Demonstrates strong command of English, both written and spoken.Capable of working independently with minimal supervision, handling complex tasks under time pressure.Skilled in analytical thinking and effective communication with internal teams and external partners.Proficient in managing confidential records and administrative filing systems, with solid interpersonal skills and working knowledge of Microsoft Office tools (Excel, Word, PowerPoint).What to Expect:Expect wellbeing initiatives, flexible work arrangements, growth opportunities, and excellent benefits including a unique family leave policy.
