Job Summary:

Responsible in the efficient establishment, implementation and monitoring of the applicable management system. He/she is also responsible in ensuring that all documents and records relative to applicable management system are controlled and updated.

Responsible in the handling of projects focusing on delivering positive business results that are cost efficient and yields higher productivity, process capability and process throughput.

Involve too in the management of initiatives on sustainability, data privacy, risk management, corporate governance among others.

Duties and Responsibilities:

1. Supports the SBU's (Strategic Business Units) operations and procedures to meet organization, government and industry compliance standards.

2. Handles various projects of the SBU's from initiation, documentation, progress, monitoring, and implementation.

3. Identifies and provides business process improvements through analytics and digitalization. Also looks for new ideas and manages innovative/creative ideas from other members of the SBUs.

4. Complements the Innovation Manager/Innovation Lead in performing his/her task in the establishment of the applicable management system, its implementation, maintenance and monitoring.

5. Coordinates with concerned personnel regarding necessary documentations, records, reports, evaluations as required by the established system.

6. Ensures that all required documents, reports and presentations are arranged and in order prior scheduled management review and external audit.

7. Recommends initiatives for improvement and enhancements of the management system.

8. Consolidates required monthly reports such as KPI monitoring, evaluations, and the like.

9. Performs internal audit (management or compliance) that includes preparation of audit notes, identification of findings, submission of reports and audit results, and issuance of corrective action.

10. Evaluates all issued non-conformances/observations and prepares reports for review of the Lead Auditor or Innovation Lead and MR/Innovation Manager.

11. Coordinates with Management System (Internal) Auditors regarding conduct of internal audit and follow up audit.

12. Performs corrective action planning to concerned personnel

13. Ensures that all issued Corrective/Preventive Action Requests are monitored and closed-out.

14. Evaluates and validates all lapses from operations, claims, customer complaints and CAR are issued.

15. Analyzes the nature of findings from internal/external audits, operational lapses, claims and customer complaints.

16. Ensures continuous improvements in processes and quality of services.

17. Conducts awareness and suggests training programs in relation to the management system and compliance.

18. Acts as Document Controller of the organization.

19. Ensures that all changes in the documents are authorized.

20. Ensures that all personnel are aware of the location and latest edition of the established manuals and other controlled documents.

21. Ensures that only controlled documents are used and followed.

22. Updates concerned personnel and Department/Section Heads of records reaching their respective retention periods.

23. Facilitates disposal of obsolete documents and records in accordance with established procedures.

24. Ensures proper identification and handling of obsolete documents retained for reference purposes.

25. Promotes the company's Zero Harm culture.

26. Identifies risks, opportunities, and consequent programs to mitigate or improve it ensuring the well-being of the assigned organization.

27. Evaluates, analyzes and updates existing internal operational and procedural compliance and ensures related documentation are done.

28. Ensures updates on regulations and policies, communicates requirements, and applies for compliance or certification on behalf of the SBU's.

29. Communicates compliance policies and guidelines to management and designated departments.

Organizational Relationship:

1. Reports directly to the Innovation Lead and Innovation Manager

2. Collaborates with SBU Heads/Personnel

Knowledge and Skill Requirements:

1. Graduate of Industrial Engineering or any related courses

2. Knowledge on various ISO standards and Industry Compliance/Regulations and its requirements

3. Proficiency in MS Office especially Visio and Excel

4. Keen on details

5. Innovative and can adapt to the changing world

6. Able to follow instruction with minimal or no supervision
