Project Administrator/Permits Coordinator

Roles and Responsibilities

  • Keep documents in order using BCS, Dropbox, and Adobe Acrobat Pro (bonus if you can't resist a tidy folder structure)
  • Follow up on fee proposals and assist with friendly, professional client engagement (sales awareness required, think approachable, not pushy)
  • Answer calls and emails quickly and warmly, within 24 hours, always
  • Book inspections and lodge payments via council portals
  • Manage BAMS entries, including levy payments, to secure those all-important permit numbers
  • Handle payments for council lodgments and authority information requests
  • Work closely with our Building Surveyors, Technical Team, Directors, and GM to keep everything moving smoothly

Qualifications and Skills Required

  • Excellent English (written & spoken)
  • Proven administrative experience, ideally in a fast-paced, client-facing role
  • Strong organisational skills with the ability to manage conflicting priorities and consistently meet strict deadlines
  • High attention to detail and excellent written communication skills
  • Proficiency in BCS, BAMS, Microsoft Office (Outlook, Word, Excel), Adobe Acrobat Pro, Dropbox, Microsoft Teams, WhatsApp, and TPG VOIP
  • Confidence with technology, particularly Microsoft Office and cloud platforms
  • Discretion and trustworthiness in handling confidential information
  • Demonstrated solid tenure in previous roles
  • Industry knowledge in construction compliance is an advantage, but not essential

Success Measures and Expectations

  • Inbox zero within 24 hours (because a tidy inbox = a tidy mind)
  • Client & internal staff responses within 24 hours
  • Fee proposal follow-ups within 7 days
  • Prompt and smooth handling of council lodgements & inspections
