Position Overview

Job Title: Operations Dispatcher

Schedule: 8:00 AM - 5:00 PM Pacific Time

Work Type: 100% Remote

Salary: ₱30,000 - ₱40,000 per month (based on experience)

As our Operations Dispatcher, you'll be the friendly voice and efficient problem-solver that keeps our operations running smoothly. You'll work directly with customers, technicians, and our service team to ensure exceptional service delivery that maintains our stellar reputation.

Key Responsibilities

Customer Communication & Support:

  • Answer all inbound calls with professionalism and enthusiasm
  • Provide accurate quotes and efficiently book customer appointments
  • Handle customer inquiries (invoice questions, technician status updates, parts tracking, etc.)
  • Proactively provide status updates to customers upon request
  • Respond to quote requests and appointment booking emails

Scheduling & Coordination:

  • Schedule appointments with customers who have received shipped parts
  • Coordinate outbound calls and customer communication for technicians
  • Assist Service Coordinator with various outbound calling tasks
  • Book warranty customers and manage warranty appointment scheduling

Administrative Excellence:

  • Enter customer information and create detailed job records in Jobber software
  • Ensure warranty claims are properly documented in our Warranty Kanban system
  • Process appointment requests submitted through Jobber
  • Maintain accurate records under corresponding warranty company accounts

Essential Requirements:

  • Native-level English proficiency (written and verbal)
  • Reliable high-speed internet connection
  • Modern computer capable of running multiple systems simultaneously
  • Professional communication skills with a friendly, customer-focused attitude
  • Strong organizational abilities and attention to detail
  • Ability to multitask effectively in a fast-paced environment

Highly Preferred:

  • Experience in high-volume customer service settings
  • Dual monitor setup (strongly recommended for efficiency)
  • Previous experience with CRM/scheduling software
  • Problem-solving mindset with ability to think on your feet
