Job Title: Assistant Property Manager – Full-Time

Location: Arizona

Key Responsibilities:

1. General Administrative & Office Support:

  • Answer and direct phone calls; manage email correspondence, memos, and letters
  • Assist Property Manager in maintaining office policies and procedures
  • Draft tenant/owner communications and update contact/account information
  • Manage termination forms and tenant COIs

2. Collections & Reporting:

  • Pull and review AR reports; follow up with delinquent tenants
  • Draft first versions of monthly reports (narratives, key metrics, AR reports, budget comparisons)
  • Support Property Manager in collections meetings and tenant issue resolution

3. Vendor & Project Coordination:

  • Draft vendor service agreements and set up autopayments for utilities
  • Coordinate with vendors on work orders and project proposals
  • Input and manage leases, invoices, and vendor information in Yardi

4. Advanced Duties (as experience grows):

  • Conduct tenant move-in/move-out walkthroughs
  • Assist with lease renewals and tenant improvement processes
  • Prepare the first draft of budgets and understand basic recovery terms
  • Coordinate larger property projects such as roof replacements, building painting, and asphalt repairs
  • Occasional property inspections with the Property Manager
  • Mentor and train new assistant property managers

Qualifications:

  • Associate's or Bachelor's degree preferred
  • Strong administrative and clerical skills; proficiency in Microsoft Office Suite
  • Excellent communication and phone etiquette for interacting with tenants, vendors, and colleagues
  • Highly organized with the ability to prioritize multiple projects
  • Ability to work independently and as part of a team in a fast-paced environment
  • Flexibility to adapt to changing priorities
  • Understanding of property operations, HVAC systems, roof requirements, etc., is a plus
  • Willingness to obtain an Arizona real estate license (if required for growth)
