Job Title: Administrative Assistant

Location: San Fernando, Pampanga

Department: Property Management

Reports To: Property Manager

Job Summary:

The Administrative Assistant provides clerical, administrative, and customer service support to ensure the smooth daily operations of the condominium's management office. The role involves handling documentation, communication with residents and suppliers, coordinating maintenance requests, and assisting the Property Manager in enforcing condominium policies and procedures.

Key Responsibilities:

Administrative and Clerical Support:

  • Prepare, organize, and maintain records, correspondence, and reports related to condominium operations.
  • Handle incoming and outgoing communications (calls, emails, memos, notices).
  • Manage filing systems—both electronic and physical—ensuring documents are updated and easily accessible.
  • Assist in scheduling meetings, preparing agendas, and taking minutes.

Resident Relations:

  • Serve as the first point of contact for unit owners, tenants, and guests at the admin office.
  • Respond to inquiries and requests in a courteous and timely manner.
  • Disseminate building notices, announcements, and reminders.
  • Coordinate with residents regarding billing concerns, service requests, and complaints.

Financial and Purchasing Support:

  • Assist in preparing billing statements, collection reports, and petty cash summaries.
  • Encode financial transactions and update records under the guidance of the Property Manager or Accounting Officer.
  • Coordinate with suppliers, contractors, and service providers for quotations, deliveries, and invoices.

Operations and Coordination:

  • Monitor and log maintenance requests and work orders.
  • Coordinate with the engineering, housekeeping, and security teams for operational support.
  • Assist in organizing condominium events, meetings, and community programs.
  • Ensure compliance with building rules, safety policies, and administrative procedures.

Qualifications:

  • Graduate of any 4-year course, preferably Business Administration, Office Management, or related field.
  • At least 1–2 years of administrative experience; property management or condominium experience is an advantage.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with office management systems.
  • Excellent communication, organizational, and interpersonal skills.
  • Customer-oriented, detail-minded, and able to multitask effectively.
  • Willing to work onsite in San Fernando, Pampanga.

Work Schedule:

  • Monday to Friday, 8:30 AM – 5:30 PM
  • Saturday, 8:30 AM - 12:00 Noon
