Job Overview:

The Administrative Assistant will provide high-level administrative support to the Program Director, assisting in managing daily operations, handling correspondence, and ensuring smooth communication across all departments. This role requires exceptional organizational skills, attention to detail, and a passion for working in a fast-paced, dynamic environment.

Duties and Responsibilities:

· Handle calls, emails, and inquiries from students, parents, and partners

· Prepare and process school documents such as memos, certificates, and reports

· Maintain filing systems for student records, faculty documents, and school files

· Assist in preparing class schedules, orientation materials, and exam papers

· Provide information on enrollment, tuition fees, and programs

· Assist with student applications, registration, and payments

· Maintain accurate student databases

· Help coordinate student events and activities

· Assist instructors with printing of lesson materials, exams, and handouts

· Coordinate class schedules, kitchen reservations, and facility usage

· Prepare minutes of meetings and academic reports for faculty meetings

· Act as the main point of contact between the school and TESDA

· Prepare, submit, and monitor TESDA requirements, reports, and compliance documents

· Ensure proper documentation of student records (enrollment, assessments, certifications) for TESDA audit and monitoring

· Assist in the conduct of TESDA assessments and coordinate with assessors

· Maintain and update school accreditation, program registration, and compliance with TESDA policies

· Coordinate with TESDA for trainings, orientations, and updates relevant to the school

· Monitor and maintain office supplies and kitchen equipment inventory

· Coordinate with suppliers for ingredients, uniforms, and school materials

· Report and coordinate repairs or maintenance needs to management

· Act as a liaison between students, parents, instructors, and management

· Support in organizing school events

· Perform other related tasks as may be assigned by the school president

Requirements:

· Bachelor's degree in Business Administration, Office Administration, Education, or any related field.

· At least 2–3 years of relevant work experience in administrative support, preferably in an educational institution or corporate setting.

· Experience in dealing with TESDA documentation and compliance is an advantage.
