  1. Collection & Follow-up

1.1 Conduct regular follow-ups through calls, emails, and messaging to remind clients about due and overdue payments.

1.2 Coordinate with clients regarding pending payments, check pick-ups, deposit confirmation, or online transfer details.

1.3 Negotiate realistic payment arrangements when needed.

  1. Monitoring of Accounts Receivable

2.1 Track and update the status of outstanding accounts based on the Aging of Receivables.

2.2 Identify delinquent accounts and escalate concerns for possible service suspension or legal action.

2.3 Monitor collection schedules for monthly, quarterly, and annual pest control services.

  1. Payment Verification & Posting Coordination

3.1 Verify payments received by bank transfer, cash, or check

3.2 Communicate with Accounting for proper posting and application of payments.

3.3 Ensure all collections correspond to valid invoices or service transactions.

  1. Coordination with Operations & Branches

4.1 Confirm completed services before collection follow-ups to ensure validity of charges.

4.2 Request proof of service (service reports, job orders) when needed for client verification.

4.3 Coordinate with branch staff for check pickups, remittances, or client concerns.

  1. Reporting

5.1 Prepare daily, weekly, and monthly collection reports and updates.

5.2 Provide management with the list of overdue accounts, high-risk clients, and collection performance.

5.3 Update collection logs and monitoring sheets accurately and on time.

  1. Documentation & Recordkeeping

6.1 Maintain organized records of collection receipts, deposit slips, and collection monitoring files.

6.2 Ensure all collection documents are complete and ready for audit.

6.3 Safeguard confidential financial and client information.

  1. Client Assistance & Issue Resolution

7.1 Address client inquiries related to payments, balances, or collection status.

7.2 Coordinate with other departments to resolve disputes or account discrepancies.
