We are seeking an experienced Administrator for a well established specialist construction company based in Australia. The role is permanent, full-time and best of all 100% home-based in the Philippines.

Our Client

Our client is a specialist commercial contractor who works on mid-sized commercial projects in Melbourne, Australia. They were set up over 5 years ago and employ over 20 people.

The Opportunity:

The Key objective of the Administrator is to support the overall team and help with a wide variety of duties. This role is best suited to an all rounder who has accounts, marketing, and administration experience. Typical duties include the following;

  • Manage accounts payable and receivable, including invoice processing, payment scheduling, and reconciliations.
  • Support payroll preparation and ensure accurate record-keeping of employee timesheets and entitlements.
  • Manage Directors email inbox
  • Liase with suppliers and customers via email
  • Support with marketing activities
  • Coordinate supplier accounts, credit applications, and procurement documentation.
  • Handle daily administrative tasks including, responding to emails, managing office supplies, and filing.
  • Maintain compliance records including insurance certificates, contractor agreements, and licensing documentation.
  • Assist with preparation and submission of BAS, superannuation payments, and other compliance obligations.
  • Support HR administration including onboarding documentation and maintaining employee records.
  • Provide general support to the Management Team across finance, operational, and administrative matters.
  • Other role specific duties as they arise.

About you:

To succeed in this role, you must have previous Administrator or Virtual Assistant experience working with an Australian company you must also be immediately available and can commit to working a 3-month fixed-term contract.

Ideally, you will also have the following qualifications and experience:

  • Bachelor's degree in Accounting, Business Administration, or a related field.
  • Proven experience in office administration, ideally within the construction, building, or related industry.
  • Strong knowledge of accounting principles and financial record-keeping.
  • Strong experience with Xero and Microsoft Excel
  • Excellent organizational skills with a high level of accuracy and attention to detail.
  • Strong communication skills, both verbal and written.
  • Ability to prioritize tasks, work independently, and manage multiple deadlines.
  • A proactive attitude and willingness to support a small but growing team.
  • Previous experience working in a construction or building solutions environment is desirable.
  • Familiarity with construction-specific software systems for project tracking and cost management is advantageous.
