KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:

1. Cost Estimate/Scope Quantification preparation

  • Prepare budgetary cost estimate and bill of quantity per punch-list
  • Review automated budgetary cost estimate prior to submission for RTOU Head approval
  • Update repair works monitoring on a daily basis

2. Accreditation & short listing of contractors and administrative works

2.1. Accreditation & short listing of contractors

  • Process accreditation of contractors in coordination with SCM and RTOU leads
  • Vendor creation for suppliers and contractors
  • Shortlist pool of contractor's quarterly

2.2. Administrative works

  • Prepare RFPs on suppliers and contractors
  • Prepare contracts for awarded units (if applicable)
  • Review documents/receipts submitted by suppliers and warehouseman for payment processing (if applicable)
  • Coordinate with accounting for all accounting/payment concerns
  • Record and file all documents properly
  • Receive calls and requests/concerns from other departments specially on buyer's turnover concerns and relay to RTOU Head or Lead PE for immediate solution
  • Prepare monthly report to submit to department head, PG and CF
  • Manage office works and liaise with other department

3. Work/Project implementation

  • Review submitted material list from site/warehouse prior to purchase requisition (if applicable)
  • Prepare purchase requisition (if applicable)
  • Update monitoring on purchase requisition (if applicable)
  • Attend sapphire requests and process approved billings
  • Check and ensure correctness of submitted receipts and other documents from warehouse prior to submission to accounting for payment processing
  • Coordinate WBS to PG and budget set-up to PMR for the material expense charging and replenishment
  • Monitor progress of payments for labor billings, suppliers and straight contractors
  • Coordinate to SCM for purchase requisition status and delivery schedules concerns (if applicable)
  • Coordinate to suppliers for delivery schedules/concern if necessary (if applicable)
  • Canvass/request quotation for materials not available in accredited suppliers or special type of materials (if applicable)
  • Process approved petty cash replenishment and monitor expenses/charging (if applicable)
  • Review, tabulate and update material charging both on OSM and petty cash expenses (if applicable)
  • Assist in punch-listing or project supervision when necessary c
  • Assist in renovation/special projects as needed

EDUCATION, TRAININGS, LICENSES REQUIRED:

  • Graduate of BS Civil Engineering
  • Must be a Licensed Civil Engineer
  • With at least 1-year work experience in construction management/project management
  • With Certifications/Trainings related to construction & office management is an advantage
  • PROJECT CONTRACT: 6 MONTHS
