Job Summary:

The Administrative Officer is responsible for overseeing daily office operations, ensuring administrative efficiency, and managing company facilities. This role also includes handling rental and lease agreements, maintaining accurate timekeeping records for administrative and security personnel, and supporting management in operational coordination.

Key Responsibilities:

  • Manage and oversee the day-to-day administrative operations of the office.
  • Prepare, review, and manage rental and lease agreements for company offices or properties, including renewals, extensions, and terminations.
  • Liaise with landlords, tenants, brokers, and suppliers regarding lease and property-related matters.
  • Maintain up-to-date records of rental payments, lease terms, and contract documentation.
  • Track lease expiration dates and coordinate timely renewals or turnover processes.
  • Oversee timekeeping and attendance monitoring for administrative and security staff, ensuring accurate and timely submission of attendance reports to HR or Payroll.
  • Verify daily time records, overtime, leave applications, and schedules of admin and security personnel.
  • Supervise security operations and coordinate with security service providers for deployment and performance monitoring.
  • Handle procurement of office supplies, maintenance, and service contracts.
  • Support budgeting and expense tracking related to office operations, leases, and services.
  • Ensure compliance with company policies, safety standards, and applicable laws.
  • Assist with coordination of company meetings, logistics, and events.
  • Prepare administrative reports, correspondence, and documentation as required.
  • Provide general support to management and other departments.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum of 2–3 years of experience in administrative or facilities management, preferably with exposure to property lease administration.
  • Experience in timekeeping or attendance management is an advantage.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • High attention to detail and strong sense of responsibility.

Job Type: Full-time
