Executive Assistant to the CEO

The Executive Assistant to the CEO (with Paralegal Background) provides comprehensive administrative, operational, and legal support to the Chief Executive Officer. This role requires a high level of professionalism, confidentiality, attention to detail, and the ability to manage multiple priorities. The position also supports the CEO in preparing legal documents, conducting basic legal research, and ensuring compliance with company policies and regulatory requirements.
Key Responsibilities
Executive Support
- Manage and maintain the CEO's calendar, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, minutes, reports, and presentations.
- Handle confidential correspondence and act as the primary point of contact between the CEO and internal/external stakeholders.
- Oversee document organization, filing systems, and communication flow for the CEO.
- Assist in project coordination and follow-up on assigned tasks to ensure timely completion.
Paralegal & Legal Support
- Draft, review, and organize contracts, agreements, memoranda, and other legal documents.
- Conduct basic legal research and summarize key information for decision-making.
- Ensure legal documents comply with company standards and regulatory requirements.
- Maintain and update legal records, contract databases, and compliance files.
- Coordinate with external legal counsel for ongoing cases, documentation, and inquiries.
- Assist with preparation of government filings, business permits, and other required submissions.
Administrative & Operational Duties
- Prepare correspondence, reports, and internal communications on behalf of the CEO.
- Support HR, administrative, and operational tasks as needed.
- Monitor deadlines, task progress, and deliverables for various departments.
- Represent the CEO in selected meetings when needed.
- Handle sensitive information with utmost professionalism and confidentiality.
Qualifications
- Bachelor's degree in Law, Legal Management, Business Administration, Office Administration, or a related field.
- Proven experience as an Executive Assistant, Paralegal, or similar role.
- Strong knowledge of legal processes, document drafting, and compliance procedures.
- Excellent written and verbal communication skills.
- Strong organizational, time-management, and multitasking abilities.
- High level of discretion and professionalism.
- Proficient in MS Office (Word, Excel, PowerPoint) and digital communication tools.
- Ability to work independently and handle pressure in a fast-paced environment.
