- Provide administrative support to project managers, estimators, and site supervisors.
- Maintain and update project data in the ERP system (e.g., Procore, Jobpac, Aconex, or similar).
- Prepare, issue, and track purchase orders, invoices, and subcontractor documentation.
- Assist in budget monitoring, cost tracking, and progress reporting through ERP tools.
- Manage document control — ensuring drawings, RFIs, and variation registers are current and properly filed.
- Coordinate and schedule meetings, site reports, and progress updates.
- Liaise with suppliers and subcontractors for compliance documents and delivery schedules.
- Support onboarding and system training for new team members as needed.
- Ensure all administrative processes comply with company procedures and project timelines.
- Bachelor's degree in Construction Management, Engineering, Business Administration, or related field.
- Minimum of 2–4 years of construction administration experience, preferably in remote or hybrid roles.
- Proven experience with ERP systems (e.g., Procore, Jobpac, Aconex, MYOB Advanced, or similar).
- Excellent knowledge of project documentation, procurement, and cost control workflows.
- Strong organizational and time-management skills with high attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in MS Office Suite (Excel, Word, Outlook).
- Self-motivated, reliable, and able to work independently with minimal supervision.
- Experience working with Australian or international construction firms.
- Familiarity with contracts administration or project coordination.
- Understanding of construction drawings and specifications.
