Overview

We are seeking a hands-on CRM Automation Specialist to build, fix, and improve workflows across our and our clients' CRM and tool stacks. You'll ensure data quality, connect systems seamlessly, and keep automations running smoothly to support sales and success teams. This is a great opportunity for someone who thrives on problem-solving, system optimization, and creating efficient, error-free workflows.

Job Highlights

  • Hourly Rate: USD 7.70
  • Number of Paid Hours Per Week: 20 hours per week (can rise to 40 hours)
  • Schedule: Flexible, with at least 3–4 hours overlap with UK time; daily Slack updates; short weekly check-in; 24-hour SLA on bug fixes that block sales or support
  • Work Arrangement: Work from home
  • Contract: Independent Contractor
  • Side Note: Since this is a permanent work-from-home position and the arrangement is that of an "Independent Contractor," the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.

Responsibilities

  • Design, build, and maintain workflows in HubSpot and Salesforce
  • Set up lead capture, data append, dedupe, routing, scoring, and lifecycle rules
  • Connect tools via APIs and webhooks, map fields, and keep data in sync both ways
  • Build triggers for sales and success teams (e.g., Slack alerts, tasks, follow-ups)
  • Own data quality in CRM, merge records, set rules, and document standards
  • Create dashboards and reports (e.g., open, reply, and opportunity rates by step)
  • Monitor runs, add logging and error handling, and fix issues quickly
  • Write clear documentation in Notion and record short Looms when needed
  • Follow privacy and security best practices, including GDPR compliance

Requirements

Required Skills

  • 3+ years building in HubSpot and Salesforce
  • HubSpot: properties, lists, workflows, sequences, lifecycle, custom objects, Ops Hub
  • Salesforce: Flow, validation rules, layouts, reports, and permission sets
  • Strong with Zapier, Make, or n8n
  • Confident with webhooks, REST APIs, JSON, and basic regex
  • Google Sheets skills, including lookups and cleaning (Apps Script is a plus)
  • Data cleaning at scale, including dedupe logic and record matching
  • Experience with dialers or SMS tools (e.g., JustCall, Twilio)
  • Experience with cold email tools (e.g., Instantly, Lemlist, Smartlead)
  • Experience with data providers (e.g., Apollo, ZoomInfo, Clay, Clearbit)
  • Clear written English and solid documentation habits

Nice to Have

  • HubSpot or Salesforce certifications
  • Notion database setup and relations
  • Attribution and UTM tracking in HubSpot or Salesforce
  • Python or JavaScript basics (Playwright or scraping basics a plus)
  • Experience with Intercom, Help Scout, or Zendesk
