JOB SUMMARY:
The HR Senior Coordinator (Letters) plays a key role in the efficient and consistent delivery of HR letter generation processes. This role is responsible for providing support for process transitions, overseeing processes with global scope, and driving continuous improvement initiatives. This role ensures timely, accurate, and standardized letter creation while supporting knowledge management, onboarding, and operational excellence. This position collaborates closely with the HR Supervisor and other stakeholders to ensure high-quality service delivery.
The HR Offboarding Senior Coordinator ensures that employee separations are handled smoothly, professionally, and in full compliance with company policies. This role is responsible for managing and overseeing the end-to-end Global offboarding process, including transition management for departing employees, timely completion of all offboarding activities, accurate documentation, and preparation of reports. The position also manages stakeholder communication and drives continuous improvements in the offboarding lifecycle. The Senior Coordinator partners closely with the HR Supervisor and other stakeholders to deliver consistent, high-quality employee exit experience.
JOB RESPONSIBILITIES:
HR Senior Coordinator (Letters)
- Ensure the timely and accurate creation of HR letters in alignment with internal SLAs and quality standards.
- Maintain consistency across letter templates and related processes.
- Work with internal partners to streamline workflows and eliminate inefficiencies.
- Support project transition activities with proper documentation
- Prepare the information needed for regular cadence meetings with stakeholders and process owner
- Recommend optimization of the transitioned activities as necessary
- Prepare and submit weekly and/or monthly report to stakeholders and ad-hoc report requests as needed by the business.
- Compliance audit report or Ad-hoc report as needed by the business.
- Resolve and/or escalate complex cases to process owners when needed.
- Support processes improvement projects within team's scope as assigned
- Pro-active participation in HR Letters-related events or activities
- Support the creation and update of work instructions, training plans, and standard operating procedures (SOPs) to drive scalability and future growth.
HR Offboarding Senior Coordinator
- Oversee and coordinate all offboarding activities from notice through final exit, including termination, resignation, retirement, redundancy, involuntary separation or contract end.
- Monitor and ensure return of company property, system access removal, clearance processes, exit interview or survey are completed.
- Maintain and upgrade standardized offboarding checklists to cover tasks such as systems access termination, retrieval of company assets (e.g., hardware, badges, keys), benefits/compensation wrap‑up, final pay, and notifying relevant stakeholders (IT, finance, facilities, managers).
- Maintain consistency of offboarding templates, letters, documents across different types of departures.
- Liaise with Payroll/Finance on final compensation, benefits cessation or continuation, severance, unused leave payout to ensure timely release in compliant to local regulation.
- Partner with Payroll, Finance, and other stakeholders to manage repayment obligations and claw backs, ensuring recoveries are tracked, communicated, and settled correctly.
- Support project transition activities with proper documentation
- Prepare the information needed for regular cadence meetings with stakeholders and process owner
- Recommend optimization of the transitioned activities as necessary
- Maintain weekly / monthly reports that show offboarding metrics: number of separations, timeliness of task completion, asset recovery rates, feedback from exit interviews, compliance gaps.
- Prepare compliance audit or ad hoc report for Offboarding activities and as needed by the business.
- Maintain clear communication with departing employees, their supervisors, IT, Facilities, Finance, and others to ensure everyone knows their roles and responsibilities.
- Resolve and/or escalate complex cases to HR Managers or Legal when needed.
- Identify areas of inefficiency or risk in the offboarding process and suggest, lead, or support improvement initiatives.
- Maintain and update standard operating procedures (SOPs), checklists and work instructions relevant to offboarding.
- Support in knowledge transfer or training the new team members to establish a backup system.
JOB QUALIFICATIONS:
- Bachelor's degree in human resources, Business Administration, or related field.
- Proficient with MS Office (Excel, Word, Outlook); experience with HRIS and ticketing tools preferred.
- Experience in handling global HR operations.
- Excellent organizational skills, detail‑orientation, and ability to manage multiple tasks under strict deadlines.
- Familiarity with HR ticketing tools and adherence to SLAs for service delivery.
- Effective verbal and written communication skills in English.
- Demonstrate initiative, sound judgment, and problem-solving skills.
- Ability to handle sensitive and confidential information with discretion.
- Open for 24/5 rotational schedule. Full on-site.
OFFBOARDING:
Understanding of employee separation legal/compliance issues, payroll/benefits finalization, asset management, access revocation is preferred
- 3-4 years' experience in HR offboarding or employee lifecycle roles.
- Strong stakeholder management skills to coordinate with internal teams (IT, Finance, Facilities, Supervisors).
LETTERS:
3-4 years' experience in HR Letters processing or similar administrative HR support role
- Experience in transition or project management is nice to have but not required.
- High attention to detail and accuracy in documentation.
