Sales Executive Assistant

Bizu Patisserie (Philippine Pastries, Inc.), one of the most innovative pastry shops delivering high quality food products and services to our sophisticated customers is in search of a dynamic Sales Account Assistant for Bizu Catering Studio.
About the role:
A Catering Sales Account Assistant is responsible for Sales administrative tasks and customer relations. Responsibilities include assisting in client communication, preparing and maintaining sales documents, managing schedules, and ensuring accurate data entry. The role involves collaboration with the sales team to coordinate catering services for events, handle client inquiries, and contribute to the overall efficiency of the sales process. Strong organizational, communication, and multitasking skills are essential for success in this support role.
Duties and Responsibilities
Administrative Support:
Provide administrative assistance to the Catering Sales team.
Assist in maintaining organized files and documentation related to client contracts and events.
Client Communication:
Respond to client inquiries and requests in a timely and professional manner.
Assist in communicating with clients to gather event details, preferences, and special requirements.
Documentation and Proposals:
Prepare and update catering proposals, contracts, and other sales-related documents.
Ensure accuracy and completeness in all paperwork, reflecting client needs and agreed-upon terms.
Scheduling and Coordination:
Assist in managing the team's schedules and appointments.
Coordinate with internal departments, such as kitchen and logistics, to ensure seamless execution of catering services such as food tastings.
Data Entry and Record Keeping:
- Enter and update client information and sales-related data in the CRM (Customer Relationship
Management) system.
- Maintain accurate records of sales activities, contracts, and client interactions.
Event Logistics Support:
- Collaborate with the operations team to ensure that event logistics are well-coordinated, such as
delivery schedules and venue requirements.
Follow-up and Customer Satisfaction:
Conduct follow-up communications with clients to gather feedback on catering services.
Address client concerns and escalate issues to the appropriate team members if needed.
Collaboration with Sales Team:
Work closely with the Catering Sales team to provide support in achieving sales targets and goals.
Participate in sales meetings and contribute to the development of effective sales strategies.
Market Research:
- Assist in gathering information about market trends, competitor activities, and customer preferences
to contribute to the development of sales strategies.
Miscellaneous Tasks:
- Handle other tasks and responsibilities as assigned by the Catering Sales Team
