Documentation Assistant

Key Responsibilities:
- Prepare, organize, and manage documents such as contracts, permits, delivery receipts, invoices, and compliance certificates.
- Encode, scan, and file documents (both physical and digital) for easy retrieval and reference.
- Ensure all documents are accurate, complete, and comply with company standards and regulatory requirements.
- Maintain an organized filing system and update document logs and trackers regularly.
- Assist in the preparation and submission of government or regulatory requirements (e.g., BIR, SSS, LGU permits, customs, etc.).
- Coordinate with internal departments, suppliers, or clients to gather and verify documentation.
- Monitor document expiration dates (e.g., permits, licenses) and coordinate renewals in a timely manner.
- Perform general administrative tasks such as photocopying, printing, data entry, and answering documentation-related inquiries.
- Support audit and compliance checks by providing requested documents promptly.
Qualifications:
- Education: At least a college graduate, preferably in Business Administration, Office Management, or any related course.
- Experience: At least 1 year of experience in documentation, administrative, or clerical work (fresh graduates may be considered).
Skills:
- Strong attention to detail and organizational skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Good written and verbal communication skills
- Ability to handle sensitive documents with confidentiality
- Familiarity with basic filing and document control systems
- Other Requirements:
- Willing to work on-site and render overtime if needed
- Can work independently and as part of a team
- Trustworthy, reliable, and proactive
