The Purchasing and Inventory Officer plays a vital role in ensuring the operations of KC's Kitchen run smoothly by managing both procurement and inventory control. This position is responsible for sourcing reliable suppliers, negotiating cost-effective purchases, and ensuring timely delivery of goods. At the same time, the officer maintains accurate inventory records, monitors stock movement, and coordinates with the kitchen and operations teams to prevent shortages, control thawing/acceptable wastage, and reduce spoilage.
This role requires negotiation skills, attention to detail, and strong organizational ability to support efficiency and cost management in the company's commissary and kitchen operations.
Key Responsibilities
Purchasing:
- Research and evaluate potential suppliers based on price, quality, and reliability.
- Negotiate contracts and terms to secure the best possible prices.
- Process purchase orders, monitor deliveries, and verify the receipt of all items.
- Maintain an up-to-date database of suppliers, pricing, and agreements.
- Ensure all procurement activities comply with company policies.
Inventory Management:
- Monitor stock levels for food, beverages, and packaging materials.
- Conduct regular physical inventory counts and reconcile discrepancies.
- Implement and enforce the FIFO (First-In, First-Out) system to control freshness and reduce spoilage.
- Monitor and record thawing procedures and acceptable wastage to maintain food safety and proper cost control.
- Produce and analyze inventory reports for management.
- Coordinate with kitchen, operations, and accounting teams to maintain accurate inventory records.
Cross Functional Support
- Work with inventory clerk and kitchen team (Head Chef/Sous Chef) to ensure stock levels are sufficient, especially during peak or busy seasons.
- Coordinate with Purchasing/Admin Assistant to ensure orders are processed accurately and delivered on time.
- Collaborate with Kitchen Staff to ensure ingredients and supplies meet quality standards.
- Work with Finance to track purchasing costs, support budgeting, and ensure timely payment of suppliers.
- Provide regular reports on Purchasing activities, inventory status, and cost-saving initiatives to management.
Compliance and Process Improvement
- Ensure all procurement and inventory activities comply with company policies and food safety standards.
- Recommend process improvements to enhance efficiency and cost control.
- Support audits and inspections related to inventory and purchasing practices.
Qualifications and Competencies
- Bachelor's degree in Business Administration, Supply Chain Management, Accounting, or a related field.
- Minimum of 2–3 years of experience in purchasing, inventory, or supply chain roles, preferably in the food service, F&B, or retail industry.
- Proven negotiation and vendor management skills.
- Proficiency in Google Sheets and experience with manual inventory systems.
- Excellent attention to detail, strong organizational skills, and the ability to work effectively under pressure.
- Key competencies include analytical and problem-solving skills, effective communication, and a high level of integrity and transparency.
Job Type: Full-time
Pay: Php23, Php25,000.00 per month
