The
Executive Assistant/HR
is a highly organized and proactive professional who provides comprehensive administrative support to the executive and handles a select range of human resources tasks. This role is crucial for ensuring the smooth operation of the executive's office and contributes to a positive and efficient workplace environment. The ideal candidate will be a master multi-tasker with excellent communication skills, a high level of discretion, and a keen attention to detail.
Key Responsibilities:
Administrative Support (Approx. 70%):
- Calendar Management:
Proactively manage and coordinate the executive's complex calendar, including scheduling meetings, appointments, and travel. Anticipate needs and resolve scheduling conflicts efficiently. - Communication & Correspondence:
Act as the primary point of contact for internal and external stakeholders. Screen and prioritize phone calls, emails, and other correspondence. Draft, proofread, and send professional communications on behalf of the executive. - Meeting Coordination:
Prepare agendas, presentations, and other materials for meetings. Attend meetings as required, take accurate minutes, and follow up on action items. - Travel Arrangements:
Plan and book detailed travel itineraries, including flights, accommodations, and ground transportation. Prepare and submit expense reports. - Office Management:
Maintain an organized and efficient office environment. Manage and order office supplies, process invoices, and handle other administrative tasks as needed. - Project Support:
Assist with special projects and initiatives as assigned, conducting research, preparing reports, and tracking progress.
Limited Human Resources Functions (Approx. 30%):
- Onboarding & Offboarding Support:
Assist in the new hire process by preparing welcome packets, coordinating first-day logistics, and assisting with the completion of initial paperwork. Help with offboarding procedures, such as collecting company property. - Employee Records:
Maintain and update employee files and records, ensuring accuracy and confidentiality. - HR Administration:
Respond to basic employee inquiries regarding company policies, benefits, and procedures, escalating complex issues to the appropriate personnel. - Recruitment Support:
Assist with scheduling interviews, communicating with candidates, and posting job descriptions on various platforms.
Required Skills and Qualifications:
- Bachelor's degree in Business Administration, Human Resources, or a related field is preferred.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Familiarity with basic human resources principles and practices.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- High level of discretion and confidentiality.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong interpersonal skills and the ability to build rapport with a variety of people.
- Problem-solving and decision-making abilities.
