Job Summary:
The Compliance Staff is responsible for assisting in the preparation, processing, and monitoring of business permits, licenses, and other regulatory requirements to ensure that the company operates in full compliance with applicable laws, rules, and regulations. The role supports the Permits and Compliance Supervisor in coordinating with government agencies, maintaining compliance records, and preparing related documentation and reports.
Key Responsibilities:
1. Regulatory and Permits Processing
- Assist in the application, renewal, and monitoring of all business permits, licenses, and clearances, including Barangay Clearance, Mayor's Permit, BIR, SEC/DTI registration, DOLE compliance, and other government requirements.
- Coordinate with local and national government offices (LGUs, BIR, DOLE, DENR, etc.) for submission and follow-up of documents.
- Ensure that all regulatory requirements are filed and renewed within prescribed deadlines to avoid penalties or interruptions in operations.
2. Documentation and Record Management
- Maintain an organized and up-to-date file of all permits, licenses, certificates, and compliance documents (both physical and digital).
- Monitor expiration dates and prepare renewal schedules for timely processing.
- Assist in preparing reports, checklists, and documentation required for audits and inspections.
3. Coordination and Government Liaison
- Communicate and coordinate with government agencies and local authorities regarding compliance-related matters.
- Prepare and submit necessary forms, applications, and letters as instructed by the Permits and Compliance Supervisor.
- Attend to government visits, inspections, and compliance inquiries when necessary.
4. Compliance Monitoring and Support
- Monitor company compliance with applicable laws, regulations, and internal policies.
- Assist in implementing company compliance procedures and guidelines.
- Support the Permits and Compliance Supervisor in conducting internal compliance checks and updates.
5. Administrative and Reporting Functions
- Prepare regular reports and updates on permit renewals, compliance status, and government communications.
- Maintain confidentiality of all compliance and company-related information.
- Perform other administrative tasks as may be assigned to support the department's operations.
Qualifications:
- Bachelor's Degree in Legal Management, Political Science, Business Administration, Public Administration, or a related field.
- At least 1–2 years of experience in business permits processing, compliance, or government liaison work (fresh graduates with strong initiative are also welcome).
- Knowledge of basic business registration, licensing, and compliance procedures in the Philippines.
- Familiarity with SEC, BIR, DOLE, and LGU processes is an advantage.
- Strong attention to detail, organization, and documentation skills.
- Good communication and interpersonal skills for dealing with government offices.
- Proficient in MS Office (Word, Excel, PowerPoint) and comfortable handling paperwork.
