We're looking for a highly organized and detail-oriented Business Operations VA to keep the daily operations of a growing business running smoothly. This role blends scheduling, task coordination, customer support, and administrative work—all while leveraging AI tools to streamline workflows and boost efficiency. The ideal candidate thrives in a fast-paced environment, communicates with clarity, and adapts quickly to new systems.

Key Responsibilities:

  • Oversee day-to-day operations to ensure smooth scheduling and task coordination
  • Handle customer inquiries via phone, email, and chat with professionalism and care
  • Maintain and organize customer records, appointments, and service requests in the CRM
  • Provide administrative support including document handling and report generation
  • Monitor workflows and introduce AI-powered tools to automate tasks and improve efficiency
  • Track schedules, resolve conflicts, and manage operational changes as needed
  • Communicate effectively with customers and internal teams to address issues quickly
  • Analyze operational data and produce reports to identify areas for improvement

Core Requirements:

  • Native English speaker with excellent verbal and written communication skills
  • Proficient in AI tools and workflow software (experience with AI in operations is a plus)
  • Strong organizational and multitasking abilities
  • Background in scheduling, customer service, and admin support roles
  • Ability to work independently in a fully remote environment
  • Exceptional attention to detail and ability to follow structured processes
  • Comfortable with CRM tools and communication platforms
