Overview

The Executive Assistant provides direct support to streamline the Executive's tasks and increase overall company efficiency. This role manages general office operations, performs essential administrative functions, and delivers exceptional customer service while anticipating and addressing the needs of the Executive, team members, and clients.

The Executive Assistant is responsible for coordinating and implementing clerical, organizational, and reporting functions, ensuring accurate and timely work output, and maintaining well-organized files across all phases of activity.

Expected Outcomes (within the first 6 weeks)

  • Provide a daily report of completed tasks, outstanding questions, and upcoming deadlines.
  • Accurately input and update customer insurance policies, prospects, opportunities, and correspondence in the agency management system database.
  • Prepare and deliver a weekly report of upcoming policy expirations.
  • Prepare and deliver a weekly report of new prospects and opportunities.
  • Handle receptionist duties as needed, including scheduling and managing phone calls.
  • Answer and direct incoming calls professionally and efficiently.
  • Complete applications for new prospects and opportunities once per week.
  • Manage at least one client per week with attention to detail and accuracy.

Skills & Competencies Required

  • Bachelor's Degree is a must (Office Administration, Accountancy, or a related field).
  • Highly proactive and a go-getter, with the ability to anticipate needs and take initiative without constant supervision.
  • Ability to manage multiple detailed responsibilities simultaneously, while remaining flexible to changing priorities.
  • Strong communication skills (verbal, written, and email) with a professional and positive attitude.
  • Excellent multitasking and organizational skills; able to meet deadlines and deliver consistent results.
  • Strong customer service orientation with the ability to handle diverse client needs patiently and effectively.
  • Confidentiality and discretion in handling sensitive information.
  • Critical thinking and problem-solving ability, with a proven track record of taking ownership and following through on commitments.
  • Tech-savvy, with the ability to quickly learn and apply knowledge of products, websites, and software platforms used by the company.
  • Strong attention to detail and impeccable work ethic.
  • Ability to draft and distribute internal communications and company memos as required.
  • Team-oriented and willing to pitch in as needed to ensure organizational success.
  • Eagerness to seek performance feedback and continuously improve.
