Hi We're Smartsourcing, and we're on the hunt for a full-time, onsite Real Estate Administrative Associate to keep our client's top agent at the top of their game. From creating eye-catching Canva designs and managing social media ads to updating listings and coordinating email campaigns—you'll be the go-to for making sure every detail is polished and every task is on track. Here, your creativity, organization, and marketing savvy won't just support the team—they'll set the stage for record-breaking sales.

Where? JEG Tower, Archbishop Reyes, Corner Acacia St., Barangay Kamputhaw, Cebu City, 6000 Cebu

As a Real Estate Administrative Associate, you will be assisting our client's powerhouse of a team to close deals and deliver exceptional client experiences. Think of yourself as the air traffic controller, making sure everything runs on time and the client's top agent has everything they need to dominate the market.

Some of the things we expect you to do are to:

Design (Canva)

  • Design suburb sold stats PDF files
  • Design farm flyers
  • Design "Just Listed"/"Just Sold" flyers
  • Design YouTube thumbnails
  • Handle ad-hoc design work

Website Updates

  • Update old sold listings and customer reviews
  • Update current listings
  • Provide weekly updates for open homes on live properties

Social Media (Meta, Google, YouTube, TikTok)

  • Track the social media video production plan
  • Set up ads (both property and profile ads)
  • Claim refunds for property ads

Email Marketing (ActiveCampaign)

  • Send monthly suburb stats campaigns
  • Send monthly social media recap campaigns
  • Send weekly "Just Sold" recap campaigns
  • Update the Open Home Follow-Up automation email monthly

Leads Management

  • Track e-appraisal leads
  • Produce e-appraisal reports when required

On-site Appraisal

  • Track the on-site appraisal vendor list
  • Send pre-appointment emails
  • Send post-appointment emails as requested
  • Schedule follow-up calls in the calendar
Requirements

We would need you to be or have the following:

  • 1–2 years of experience in an Executive Assistant role with marketing-related tasks
  • Proficiency in Canva with a strong creative eye
  • Experience executing active campaigns or similar email marketing initiatives
  • Experience in social media management and Meta ads marketing
  • Experience using CRM tools
