Job Overview

We are looking for a Real Estate Coordinator to support the operational and financial management of leased and owned properties. This role involves managing lease agreements, coordinating property maintenance, supporting improvement projects, reviewing budgets, and ensuring timely rent collection.

Key Responsibilities:

Lease Administration

  • Handle the full lifecycle of lease agreements, including renewals, terminations, and compliance tracking.
  • Collaborate with tenants and legal teams to ensure lease terms are clear, accurate, and properly executed.
  • Keep lease records current, including key dates, obligations, and financial terms.

Maintenance Oversight

  • Supervise regular and preventive maintenance across all managed properties.
  • Ensure service requests and issues are addressed promptly.
  • Evaluate vendor performance to maintain high service standards.

Project Involvement

  • Coordinate with internal engineering and other departments on building and infrastructure projects.
  • Support the planning, budgeting, and execution of facility upgrades or repairs.
  • Monitor project milestones to ensure deadlines and quality expectations are met.

Financial Support

  • Review budget proposals and expense claims related to property operations.
  • Oversee the use and documentation of revolving funds.
  • Track spending to ensure it aligns with approved financial plans.

Property Improvements

  • Recommend and facilitate enhancements to properties that align with tenant needs and strategic goals.
  • Manage implementation and assess the value and effectiveness of improvement projects.

Reporting Duties

  • Compile and deliver reports covering financial performance, maintenance updates, and project progress.
  • Analyze data to offer insights and recommendations for operational improvements.
  • Ensure all reports are submitted on schedule to key stakeholders.

Collections Oversight

  • Follow up on rent and other receivables to ensure timely payment.
  • Work with tenants and the finance department to resolve payment issues.
  • Maintain up-to-date records of collections and outstanding balances.

Qualifications

  • A bachelor's degree in business administration, Property Management, or a related field.
  • At least two years of relevant experience in property management.
  • Familiarity with lease agreements, budgeting processes, and maintenance protocols.
  • Strong organizational, communication, and problem-solving abilities.
  • Proficiency with Microsoft Office and property management software.
  • Willingness to work on-site as required.
