The Admin & Documentation Staff supports the real-estate operations by handling document processing, data accuracy, sales documentation, client file management, and inter-department coordination.

This role ensures that all documents—from titles, and government submissions—are complete, properly encoded, verified, and securely stored.

The staff member is responsible for maintaining efficient administrative workflow, assisting sales teams, coordinating with buyers/agents, and ensuring that documentation timelines are met to avoid delays in project turnover and client satisfaction.

  • Prepare, receive, review, and validate CTS/MOA, Deeds of Sale, SPA, Affidavits, Promissory Notes, and all sales-related documents.
  • Encode buyer and property details into the company's CRM or documentation tracker.
  • Track and manage document statuses, including pending requirements, follow-ups, and compliance deadlines.
  • Assist sellers, brokers, and clients in document inquiries, required forms, and submission processes.
  • Coordinate with Sales Admin, Accounting, Finance for document routing and approval.
  • Prepare daily, weekly, and monthly reports on documentation status, sales submission progress, and pending items.
  • Handle incoming/outgoing communication such as calls, messenger requests, courier documents, and email inquiries.
  • Assist in compiling documents needed for DHSUD, Tax Declaration, CAR, Title transfer, and other government requirements.

QUALIFICATIONS

  • Bachelor's Degree in Business Administration, Real Estate Management, Office Administration, Marketing, or related field.

Experience

  • Experience in real-estate documentation, sales admin, or administrative support is advantageous but not required (trainable).
  • Open to Fresh Graduates.

Technical Skills

Knowledge in:

  • MS Office (Excel, Word, PDF Management)

Soft Skills

  • High attention to detail and strong sense of confidentiality.
  • Time management and ability to meet tight documentation deadlines.
  • Customer-oriented, patient, and professional when dealing with clients.
  • Ensure all processed documents meet legal and company standards.
