Job Summary

The Office Administrator will ensure the smooth and efficient operation of the office by overseeing administrative tasks, coordinating office activities, and providing support to team members. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment.

Key Responsibilities

  • Administrative Support:
  • Maintain and organize office files, records, and documents.
  • Handle correspondence, including emails, phone calls, and mail.
  • Prepare reports, presentations, and memos as needed.
  • Office Management:
  • Manage office supplies inventory and place orders when necessary.
  • Coordinate maintenance of office equipment and facilities.
  • Ensure a clean, professional, and safe office environment.
  • Scheduling and Coordination:
  • Manage calendars and schedule meetings or appointments.
  • Organize travel arrangements for staff when required.
  • Assist in planning and executing company events or meetings.
  • Human Resources Support:
  • Assist with onboarding new employees and maintaining employee records.
  • Track attendance, leaves, and other HR-related documentation.
  • Support recruitment processes, such as scheduling interviews and posting job ads.
  • Financial Tasks:
  • Handle basic bookkeeping and record expenses.
  • Process invoices and assist with accounts payable/receivable.
  • Monitor budgets and assist with financial reporting as needed.

Qualifications and Skills

  • Bachelor's degree in Business Administration, Office Management, or a related field (preferred).
  • Proven experience in office administration or a similar role.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
