The Accounts Payable Assistant is responsible for supporting the finance team by ensuring timely and accurate processing of invoices, expense reports, and vendor payments. This role helps maintain compliance with company policies and accounting standards while fostering positive vendor relationships.

Key Responsibilities

  • Process vendor invoices and match them with purchase orders and receipts.
  • Verify accuracy of billing details and resolve discrepancies promptly.
  • Prepare and schedule payments (checks, electronic transfers) in accordance with payment terms.
  • Maintain and update vendor records in the accounting system.
  • Assist in month-end closing activities, including accruals and reconciliations.
  • Respond to vendor inquiries and resolve payment-related issues.
  • Ensure compliance with tax regulations and internal controls.
  • Support audits by providing documentation and reports as needed.
  • Maintain organized filing of invoices and payment records (digital and physical).

Qualifications

  • Bachelor's degree in Accounting, Finance, or Business preferred.
  • 1–2 years of experience in accounts payable or related finance role.
  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and MS Excel.
  • Strong attention to detail and accuracy in data entry.
  • Good understanding of basic accounting principles and tax compliance.
  • Excellent organizational and communication skills.
  • Ability to work under pressure and meet deadlines.
