Position Overview

The Operations Officer is responsible for ensuring operational excellence, compliance, and business support across Santé branches and product centers. This role safeguards company standards, monitors adherence to policies and brand standards, optimizes logistics and inventory, and supports branch operations to maximize sales performance and network growth.

Key Responsibilities & Deliverables

1. Branch & Product Center Compliance & Standards (35%)

• Conduct audits to ensure 100% adherence to company policies, SOPs, and regulatory requirements for both branches and product centers.
• Monitor compliance trends and implement corrective action plans where needed.
• Ensure branches and product centers with physical stores follow One Look One Santé branding, operational standards, and customer service protocols.
• Coordinate refresher trainings and spot audits to maintain compliance and operational excellence.

2. Branch Accreditation & Expansion (20%)

• Oversee accreditation of new branches and product centers, ensuring smooth onboarding and operational readiness.
• Coordinate with interdepartmental teams to provide necessary resources for new branches and product centers.
• Ensure 100% of new branches/product centers meet compliance and operational standards.
• Support branches and product centers in preparing facilities, staff, and processes for effective operations.

3. Regulatory Adherence (20%)

• Keep branches and product centers updated with relevant government and industry regulations.
• Ensure 100% pass rate in regulatory checks (permits, licenses, health/commercial compliance).
• Coordinate Regulatory Awareness Programs, Policy Updates, and Risk & Compliance Workshops.
• Conduct risk assessments and compliance checklists to identify gaps and mitigate operational risks.

4. Inventory & Logistics Management (15%)

• Maintain accurate inventory monitoring via centralized dashboards for all branches and product centers.
• Ensure zero stock-outs, expiry losses, or late deliveries.
• Partner with SCM/Logistics teams for Inventory & Logistics Optimization Initiatives.
• Provide timely feedback on product flow and activation needs to support branch sales and events.

5. Operational Support for Sales (10%)

• Ensure smooth execution of events, roadshows, caravans, and other local activities by preparing operational checklists and logistics.
• Monitor adherence to brand standards during branch and product center activations to enhance customer trust and sales credibility.
• Identify process gaps and recommend solutions to improve branch efficiency and sales outcomes.
• Provide operational guidance that supports recruitment, retention, and sales conversion efforts.
• Finalize and maintain Branch and SPC Handbooks to ensure standardized procedures, policies, and operational best practices are documented, communicated, and implemented across all locations.

Qualifications

• Bachelor's degree in Business Administration, Operations, Management, or related field.
• Minimum 3 years' experience in operations, business support, or compliance (preferably in retail, FMCG, or direct selling).
• Strong understanding of branch/product center operations, compliance, and logistics.
• Excellent writing skills for creating, updating, and standardizing policies, SOPs, and operational handbooks.
• Proficient in reporting tools, dashboards, and operational software.
• Strong communication, training, and cross-functional coordination skills.
• Ability to travel rfor branch/product center visits, audits, and operational support.
• Results-driven, detail-oriented, and capable of implementing processes that support sales growth and network development.
