Overview
We are seeking a highly detail-oriented and organized Import and Export (Impex) Staff with a crucial focus on Billing and Collections to join our team in the customs brokerage and logistics industry. This dual-role position requires a strong understanding of customs procedures and regulations, coupled with solid accounting principles to manage client documentation, invoicing, and timely payment collection.
Key Responsibilities
I. Import and Export (Impex) Operations
- Coordinate the preparation and submission of customs declarations and related documents for import and export shipments.
- Ensure compliance with local and international trade regulations, customs laws, and internal company policies.
- Maintain accurate and organized records of all shipment documentation (BLs, AWB, Commercial Invoices, Packing Lists, etc.).
- Liaise closely with the Customs, Operations, and Sales teams to ensure smooth and efficient clearance and delivery processes.
- Coordinate with clients regarding shipments with additional charges and secure necessary approvals prior to processing.
II. Billing and Collections Management
- Prepare and issue accurate and timely invoices, official receipts, and billing statements to clients for services rendered.
- Monitor customer accounts to ensure the timely collection of payments, adhering to agreed-upon credit terms.
- Record and reconcile all daily and weekly collections, bank deposits, and outstanding accounts receivables (AR).
- Perform regular follow-ups with clients on overdue accounts via calls, emails, or formal demand letters.
- Coordinate with the Sales/Operations team to resolve any client payment issues, disputes, or discrepancies.
- Prepare and generate Accounts Receivable aging reports for management review.
Qualifications
- Education: Bachelor's degree in Customs Administration.
- Knowledge: Strong understanding of accounting principles and practices, particularly in Accounts Receivable management.
- Industry Experience: Previous experience in the customs brokerage or logistics industry is a significant advantage.
- Technical Skills: Proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP) and Google Applications (Sheets, Docs).
- Detail Orientation: Excellent attention to detail and accuracy in documentation and financial record-keeping.
- Organizational Skills: Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Communication: Excellent communication and interpersonal skills for effective client follow-up and internal coordination.
- Work Ethic: Ability to work independently and effectively as part of a team.
