ROLE INTRODUCTION
We are looking for a highly organized, resourceful, and proactive Private Assistant to provide comprehensive support to our CEO in managing personal, family, and private affairs. This role operates in a fast-paced and dynamic environment, requiring exceptional discretion, attention to detail, and strong problem-solving abilities.
The ideal candidate will bring a solid background in hospitality or front-office operations, demonstrating professionalism, service excellence, and the ability to anticipate needs. You will be responsible for coordinating and organizing household activities, fulfilling requests from household members, and ensuring all personal and domestic matters are handled efficiently and confidentially.
RESPONSIBILITIES
- Remote Household Management
- Coordinate and oversee household operations remotely, ensuring all domestic tasks, errands, and maintenance requests are completed efficiently.
- Liaise with on-site household staff, vendors, and service providers to ensure timely delivery of the services and smooth day-to-day operations.
- Monitor ongoing tasks, follow up with suppliers or contractors, and ensure accountability and completion.
- Accommodation & Travel Coordination
- Research, plan, and book travel arrangements for the CEO and family, including flights, accommodations, transportation, and dining reservations.
- Prepare detailed digital itineraries with confirmations, contacts, and backup plans.
- Coordinate with local contacts or hotel concierge for on-ground arrangements and support.
- Manage documentation related to travel such as visas, insurance, and renewals.
- Schedule & Calendar Management
- Manage and update the CEO's personal, family, and household calendars, ensuring seamless alignment with professional commitments.
- Schedule appointments, meetings, and events, providing reminders and ensuring efficient time management.
- Anticipate scheduling conflicts and proactively suggest solutions.
IV. Routine & Lifestyle Coordination
- Support day-to-day personal and household routines remotely, ensuring smooth coordination between family members, household staff, and service providers.
- Arrange and manage online purchases, gift deliveries, and other personal errands.
- Plan and coordinate personal events, celebrations, or family gatherings, including logistics and guest communication.
- Anticipate needs and provide proactive support to maintain comfort and organization in the CEO's personal life.
V. Personal Projects & Administrative Support
- Manage personal and household-related projects, tracking milestones, budgets, and deliverables.
- Coordinate with external consultants, contractors, or agencies involved in personal initiatives or private investments.
- Prepare and maintain digital documentation, reports, and files with accuracy and confidentiality.
VI. Confidentiality & Professional Conduct
- Handle all private, personal, and family matters with the highest level of discretion and professionalism.
- Demonstrate excellent judgment, integrity, and reliability in managing sensitive information and tasks.
- Maintain clear, responsive, and respectful communication with the CEO and relevant stakeholders.
REQUIREMENTS

- Bachelor's degree in hospitality management or business administration or marketing agency. Proven experience instead of this is allowed.
- Must have a strong background in the hospitality industry, particularly in front-office operations such as guest services or guest relations
- Proficiency in MS Office Suite, Google Workspace, and other relevant software applications, such as work management platforms.
- Excellent written and verbal communication skills, with the ability to adapt communication style for diverse audiences.
- Strong interpersonal skills and the ability to maintain confidentiality and discretion.
- Proactive problem-solving abilities, with a positive attitude and a solutions-oriented approach
