Accounts & Administration Officer

About the Role
Our Australian partner is seeking a highly organised and detail-oriented Accounts & Administration Officer who will support our Customer Service and Print Operations team. This role combines accounting responsibilities with customer support, order processing, and administrative duties in a fast-paced printing environment.
This is a day shift, Mon-Fri with weekends off.
Key Responsibilities
Accounts & Finance
- Reconcile bank statements and monitor transactions.
- Record sales invoices and billings accurately.
- Process Accounts Payable (AP) and Accounts Receivable (AR).
- Payroll processing.
- Enter and maintain asset records in Xero.
- Monitor payments and follow up on dishonored transactions.
- Assist with BAS, IAS, P&L, cash-flow, income statements, and other financial reports.
- Perform other accounting related duties as required.
Customer Support & Administration
- Handle printing enquiries via phone, email, and live chat for Australian customers.
- Assist customers with orders, artwork setup, payments, product specifications, and delivery details.
- Create, review, and discuss quotations with clients.
- Follow up on pending payments and confirm order progression.
- Enter and code confirmed orders accurately into the system.
- Verify print-ready artwork to ensure accurate quoting and fast processing.
- Follow up on urgent jobs to ensure production timelines are met once payment and artwork are confirmed.
- Ensure all email enquiries are responded to within 30 minutes, prioritising urgent requests.
- Track dispatched orders with carriers (Toll, First, StarTrack, TNT) and confirm timely delivery.
- Notify customers when orders are ready for pickup or dispatched, including tracking details.
- Follow up with clients on artwork approvals when required.
- Support the design team with order and artwork coordination.
- Champion and manage the product range, including stock ordering.
- Complete general administrative and ad hoc tasks to support business operations.
Skills & Experience
- Proven experience in accounts and administration roles.
- Strong knowledge of AP, AR, payroll, P&L, cash-flow, BAS, IAS, and financial reporting.
- Experience working in a customer service–focused environment.
- Excellent written and verbal communication skills.
- Comfortable making inbound and outbound calls to customers and suppliers.
- High attention to detail and strong organisational skills.
- Ability to work independently and collaboratively within a team.
- Comfortable working within the Australian time zone (AEST).
Job Type: Full-time
Pay: Php38, Php42,000.00 per month
