Job Summary:

We are looking for a highly organized and proactive Administrative Executive to support the smooth daily operations of our company. This role involves coordinating with various departments, managing administrative tasks, and assisting with basic accounting functions such as accounts payable. The ideal candidate is detail-oriented, efficient, and thrives in a fast-paced work environment.

Administrative Support

  • Provide day-to-day administrative assistance to the operations team and all other departments.

  • Coordinate and process internal requests including supplies, logistics, and documentation.

  • Manage office files, records, and ensure timely completion of required forms and reports.

  • Monitor inventory of office and operational supplies and process orders when necessary.

  • Assist in preparing letters, memos, presentations, and internal communications.

Operations & Interdepartmental Coordination

  • Liaise between departments to ensure requests and needs are addressed efficiently.

  • Support scheduling, logistics, and coordination for meetings, site visits, or fieldwork.

  • Follow up on task deadlines and help ensure workflow alignment across teams.

  • Assist in onboarding processes and internal compliance documentation.

Basic Accounting / Accounts Payable

  • Process and monitor payment requests and reimbursements.

  • Assist in maintaining records of payables, vendor invoices, and receipts.

  • Coordinate with finance/accounting for invoice validation and payment schedules.

  • Support basic bookkeeping, data entry, and monthly reconciliations as required.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or related field.

  • At least 6 months–1 year of relevant experience in administrative work and basic accounting.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Ability to multitask and adapt to shifting priorities in a fast-paced environment.
