Role Description
This is a full-time hybrid role for an Admin & Finance Officer, based in Muntinlupa City, with some work-from-home flexibility. The Admin & Finance Officer will manage day-to-day administrative tasks, handle financial transactions and reporting, assist in budget preparation, and ensure compliance with financial regulations. Duties also include maintaining financial records, facilitating communication within the office, and supporting the broader team with administrative and project needs.
Qualifications
• Billing and Invoicing - Prepare and issue project invoices in coordination with the Account Director.
• Ensure invoices are accurate, complete, and aligned with approved project budgets.
• Maintain and update the Billing Masterlist to track invoicing status.
• Collection & Receivables Management - Monitor payment receivables and provide regular status updates to the Account Director.
• Relay confirmed collection schedules to the assigned messenger and relevant stakeholders.
• Follow up with clients or coordinate with the Accounts team for pending payments when necessary.
• Client Accreditation & Documentation - Prepare, compile, and submit accreditation requirements for new client engagements.
• Ensure all client-related finance documentation is properly filed and accessible.
• Liquidation - Review and verify contingency cash liquidations and receipts submitted by project teams.
• Organize and collate all liquidation records before submission to the COO for approval.
• Administrative Support - Provide administrative assistance to management when needed.
• Assist in sourcing project suppliers, coordinating with the team to secure requirements when necessary.
