Position Overview
The Admin Staff is responsible for providing comprehensive administrative, clerical, and operational support to ensure the smooth and efficient functioning of the company. This role involves multitasking across various areas such as office administration, HR assistance, documentation, procurement coordination, and basic accounting support.
Key Responsibilities1. General Administrative Support
- Manage day-to-day office operations and ensure a clean, safe, and organized work environment.
- Handle correspondence such as emails, phone calls, memos, and announcements.
- Maintain office files, records, and documents for easy retrieval.
- Prepare reports, letters, forms, and other administrative materials as required.
2. Human Resources Assistance
- Assist with recruitment processes such as posting job ads, screening applicants, and scheduling interviews.
- Support onboarding of new employees (preparation of files, orientation schedules, IDs).
- Maintain employee records, attendance sheets, and leave monitoring.
- Help in preparing HR-related documents, certificates, and memos.
3. Procurement & Logistics Coordination
- Assist in sourcing suppliers, canvassing items, and preparing comparisons for approval.
- Process purchase requests (PR), purchase orders (PO), and follow up deliveries.
- Monitor office supplies, construction materials (if applicable), and inventory levels.
- Coordinate with couriers or riders for pickups, deliveries, and document transmittals.
4. Finance & Accounting Support
- Assist in encoding expenses, receipts, petty cash liquidation, and reimbursement forms.
- Help prepare billing documents, vouchers, and simple financial reports.
- Coordinate closely with Accounting to ensure complete and accurate documentation.
5. Document Control & Reporting
- Ensure all forms, logs, and files are updated and properly stored (soft copy & hard copy).
- Handle scanning, printing, and distribution of memos and announcements.
- Prepare weekly/monthly reports as required by management.
6. Operations Support (as needed)
- Coordinate schedules for meetings, trainings, and company events.
- Support project teams by preparing forms, monitoring logs, and assisting with documentation.
- Attend to walk-in visitors, clients, or field personnel for concerns and inquiries.
Qualifications
- Bachelor's degree in any business-related course or equivalent experience.
- With experience in administrative or office work is an advantage.
- Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Strong communication, organizational, and multitasking skills.
- Ability to work with minimal supervision and handle multiple tasks simultaneously.
- Detail-oriented, reliable, and can maintain confidentiality at all times.
