Duties and Responsibilities

1. Control Functions

  • Manage front desk and reception area, ensuring guests and applicants are properly received and directed.
  • Maintain organized documentation and filing system for all HR-related processes.
  • Manage the schedule of conference rooms for HR and other departmental use.
  • Monitor requisitions for office supplies and HR logistics.
  • Route employee clearances, ensuring retrieval of all company assets before endorsement.
  • Create and update 201 files, monitoring completion and accuracy of records.
  • Ensure the completeness and proper filing of pre-employment requirements of new hires.
  • Coordinate facility-related administrative concerns and oversee basic office maintenance.

2. Support Functions

  • Support end-to-end recruitment processes, including job posting, sourcing, screening, and endorsing candidates' CVs.
  • Assist in onboarding processes, including orientation and initial employee documentation.
  • Coordinate schedules for interviews, training sessions, and document routing.
  • Assist in the preparation and submission of government-mandated documents and compliance forms.
  • Provide clerical and administrative support to HR operations.
  • Perform other related tasks as may be assigned by the immediate superior.

3. Reportorial Functions

  • Generate and submit real-time reports on the status of employee clearances.
  • Maintain monitoring reports of employee 201 files.
  • Prepare and maintain office supplies monitoring reports.
  • Provide recruitment status updates and other HR-related reports to management.

4. Recruitment & Employee Engagement Functions

  • Source candidates through job boards, social media platforms, career fairs, and employee referrals.
  • Conduct initial screening of applicants via phone or in-person interviews.
  • Coordinate with hiring managers to ensure timely feedback and scheduling of interviews.
  • Assist in organizing employee engagement activities, recognition programs, and company events.
  • Help foster a positive work culture by supporting HR initiatives.
Qualifications
  • Bachelor's degree in Human Resources Management, Psychology, Business Administration, or related field.
  • At least 1–2 years of experience in HR, recruitment, or administrative support (fresh graduates with internship experience are welcome to apply).
  • Strong knowledge of HR processes, recruitment platforms, and basic labor compliance is an advantage.
  • Proficient in MS Office applications (Word, Excel, PowerPoint) and familiar with HRIS or recruitment tools.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks effectively.
  • Can work independently with minimal supervision while being a good team player.
  • Willing to work on-site/office-based and adapt to a fast-paced environment.
