Main Responsibilities:

The Office Supervisor is responsible for overseeing daily administrative operations, coordinating HR and office support functions, managing financial documentation processes and supervising procurement activities to ensure smooth and efficient business operations.

1. HR & Administrative Support

  • Coordinate issuance of employee ID card, building passes and business cards.
  • Monitor laptop inventory and coordinate with the Technical Manager for issuance and return.
  • Oversee the purchase and replenishment of office and pantry supplies.
  • Handle daily email announcement.
  • Manage building administration concerns and coordinate with property management.
  • Prepare and ensure compliance for clearance of resigned employees.
  • Assist in sourcing and liaising with contractors or suppliers for office needs.
  • Monitor and process employee claims, HMO concerns and office maintenance.
  • Handle business permits, government compliance, and accreditation renewals.

2. Finance Support

  • Prepare and issue Certificates of Withholding Tax to suppliers and clients.
  • Process payment vouchers, petty cash replenishment.
  • Maintain financial records including cash books and supporting documents for payables.
  • Assist in preparing proforma invoices and ensure proper archiving of financial documents.
  • Coordinate collection of official receipts and monitor expense documentation for company accounts.

3. Procurement Operations

  • Prepare and process sales orders, costing sheets, and supplier purchase orders.
  • Coordinate with Sales and HQ on order-related concerns.
  • Oversee order processing in the system and ensure accurate record-keeping.
  • Conduct monthly inventory checks of office equipment and supplies.

Requirements:

  • Possess at least a Bachelor degree in Business Administration, Office Management or related field.
  • At least 3–5 years of experience in office administration or supervisory role.
  • Proficient in MS Office.
  • Strong organizational, multitasking and communication skills.
  • Responsible, committed, self-motivated and independent
  • Able to meet deadline and with positive attitude
  • Able to commence work at a short notice
  • Conversant in English.
