
Receptionist and Admin Assistant

Job Summary:
We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our company, creating a positive and welcoming environment for all our clients and visitors. This role requires a proactive individual who can manage both front desk duties and a variety of administrative tasks with efficiency and a positive attitude.
Key Responsibilities:
Front Desk Management:
- Greet visitors and provide a professional and friendly first impression.
- Answer and direct incoming phone calls, emails, and faxes to the appropriate staff or departments.
- Manage the incoming and outgoing mail and deliveries.
- Ensure the reception area is tidy and presentable at all times
Administrative Support:
- Provide administrative and clerical support, including data entry, filing, and preparing documents.
- Maintain and monitor office supplies inventory, placing orders as needed.
- Assist with the preparation of reports, presentations, and other documents
- Prepare and process expense reports, liquidations, and reimbursements
- Handle utility payments and other financial coordination as directed.
- Support meeting coordination by preparing meeting rooms and arranging refreshments.
Qualifications:
- Experience: At least two (2) years of experience in an administrative assistant or similar role.
- Education: A college degree in a business-related field is preferred.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Technical: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
- Organizational: Strong ability to prioritize tasks, manage time effectively, and handle multiple responsibilities.
- Attention to Detail: Meticulous and accurate in all tasks, from data entry to document preparation.
- Customer Service: A positive, helpful, and service-oriented attitude towards all visitors and colleagues.
- Problem-Solving: Resourceful and capable of resolving issues independently.
- Interpersonal: Ability to collaborate effectively and professionally with a diverse group of people.
