Job Title: Administrative Assistant – HR & Compliance

Job Description:

We are seeking a dependable and detail-oriented Administrative Assistant – HR & Compliance to provide essential support to our Administrative and Human Resources teams. This role also involves assisting store branches and coordinating with local government units (LGUs) and other government agencies for the application and renewal of business permits.

The ideal candidate will have a strong administrative background, practical knowledge of HR processes, and be comfortable liaising with external parties such as government offices and store personnel.

Key Responsibilities:

Main Role – Admin and HR Support:

  • Assist in posting job advertisements across platforms
  • Schedule interviews and coordinate with candidates
  • Conduct initial screening interviews
  • Help process pre-employment and onboarding requirements (e.g., contracts, clearances, ID submissions)
  • Maintain and update employee records and HR files
  • Assist in the preparation of HR documents, reports, and communications
  • Support the Admin team in general office operations such as document filing, supply monitoring, and record-keeping
  • Communicate with suppliers to request quotations, place orders, or follow up on deliveries
  • Assists in processing visa applications for Japanese employees.
  • Assist in receiving, checking, and preparing branded items for transfer between store branches and the Philippine Head Office, as well as for shipment to the Japan Head Office

Additional Responsibilities – Store and Government Coordination:

  • Assist in addressing store-related administrative concerns by coordinating with branch personnel
  • Help ensure all store branches remain compliant with local regulations
  • Prepare and process documents for the application and renewal of:

  • Business permits

  • Barangay clearances

  • Sanitary permits

  • Fire safety inspections

  • and other LGU/government requirements

  • Liaise with government agencies such as the City Hall, DTI, BIR, SSS, PhilHealth, and Pag-IBIG

  • Monitor permit renewal schedules and ensure timely submission to avoid penalties

Qualifications:

· Bachelor's degree or higher in Human Resources, Business Administration, or a related field

· Proficiency in English (both written and verbal)

· Computer literate; proficient in Microsoft Office (Word, Excel, Outlook)

· Experience in administrative and HR support roles

· Ability to multitask and manage multiple responsibilities efficiently

· Experience handling government-related tasks, including knowledge of LGU permit applications and general government compliance processes, is an advantage

· Flexibility to work in both office and field settings (e.g., coordinating with branches, suppliers, or government offices)

Compensation and Benefits

Salary:

₱30,000 per month

Total Compensation: ₱30,000 (Basic Salary) + ₱3,000 (Benefits) = ₱33,000

Work Schedule and Holidays:

  • 5 days a week, 8 hours per day
  • Working hours: 9:00 AM to 6:00 PM
  • Weekends and public holidays off

Probationary Period:

  • 6 months
