Tasks & Responsibilities
JOB SUMMARY:

The Accounting Services is to assist the Controller with his/her responsibilities and accountabilities, to ensure we collect from customers and pay vendors in a timely manner, and to ensure an accurate and timely month-end closing process.

REPORTS TO: Head of Finance and Accounting (Controller)

RESPONSIBILITIES And ACCOUNTABILITIES
Accounts Receivable

  • Daily sweep of the Aspire Invoice Assistant queue.
  • Same day invoice processing: contract billings; T&M work tickets; etc.
  • Monitor customer approvals.
  • Merge invoice attachments and backup/approval documents.
  • Compliance with customer billing requirements.
  • Create and send invoices – electronic and/or hard copies.
  • Create and send statements.
  • Manage due dates.
  • Collections per client terms and posting of payments received electronically and manual checks.
  • Monthly reconciliation and reporting.

Accounts Payable

  • Vendor set up, including W-9 processing.
  • Receipt of vendor invoices
  • Matching vendor invoices to purchase orders, and reconciling quantities, units, prices, freight, sales tax, etc.
  • Invoice posting and cost coding.
  • Open PO tracking and vendor follow up.
  • Discrepancy communications with vendors and client designated contacts.
  • Handling vendor payment status inquiries.
  • Monthly vendor statement reconciliation.
  • Bank and Credit Card reconciliations.
  • Attach invoices in Quickbooks.
  • Monthly reporting: open Pos; expense analysis.
  • Review credit cards monthly to inquire about suspicious charges.
